Responsibilities

About the Role: - We are hiring a Team Coordinator / Multilingual Interpreter to support day-to-day operations for a growing language services company serving clients across the U.S. with a distributed, global team. - This dual-function role blends hands-on coordination of interpreter assignments with active interpreting work of your own. - You will keep schedules, communication, and quality on track for a roster of interpreters, while also stepping in to interpret sessions in your own language pair(s). - It is a great fit for someone who is both a strong organizer and a skilled linguist. What You Will Do (Team Coordination): - Coordinate daily assignment scheduling, confirming interpreter availability well ahead of session start times. - Serve as the point of contact for interpreters on your team, answering questions, resolving scheduling conflicts, and escalating issues as needed. - Track and follow up on interpreter confirmations, cancellations, and no-shows, filling gaps quickly to avoid missed sessions. - Monitor interpreter session quality using standardized quality-monitoring reports and provide constructive feedback. - Maintain accurate records of interpreter availability, certifications, and assignment history. - Support onboarding of new interpreters joining your team, including orientation on tools, protocols, and expectations. - Participate in regular team check-ins to flag staffing gaps, share updates, and align on priorities. What You Will Do (Interpreting): - Provide accurate, professional interpretation (consecutive and/or simultaneous) in your language pair(s), following industry code of ethics and confidentiality standards. - Interpret across settings that may include legal, medical, educational, or general business contexts, depending on assignment. - Prepare for assignments by reviewing relevant terminology and context in advance when provided. - Maintain professionalism, neutrality, and accuracy in every session, and document any issues encountered. Who You Are: - Bachelor's degree required (any field). - Proven experience as a professional interpreter, plus prior experience in scheduling, coordination, or team support. - Fluent in English and at least one additional language, at a professional interpreting standard, across speaking, reading, and listening. - Before applying, please test your English level using the free EF SET English Test and include your score/certificate with your application. - Resume demonstrating proven, relevant experience, plus professional references who can confirm your work. - Reliable home office setup: a computer, one to two additional monitors, a quiet working environment, and a stable, dependable internet connection. - Trustworthy and self-directed, able to work independently and reliably with minimal supervision, as well as collaboratively when needed. - Energetic and engaged, bringing genuine knowledge and judgment to the business rather than just following instructions. - Disciplined about applying SOPs and documented processes consistently, without cutting corners. - Strong organizational skills and comfort managing a high volume of scheduling changes under time pressure. - Clear, professional written and verbal communication. Nice to Have: - Court/legal or medical interpreter certification. - Experience with interpreting/dispatch platforms or scheduling software. - Proficiency in a third language. - Experience supporting school district, judicial, or healthcare client accounts. Key Performance Indicators: - Assignment fill rate for your team (confirmed coverage before session start): >= 98% (Weekly). - On-time interpreter confirmations: >= 95% (Weekly). - No-show / late cancellation rate on your team: < 2% (Monthly). - Average client quality score for your interpreting sessions: >= 4.5 / 5 (Monthly). - Team roster documentation accuracy (availability, certifications): 100% (Monthly). - Staffing gaps resolved within same business day: >= 95% (Weekly). - SOP adherence across coordination and interpreting work: 100% (Ongoing). Key Skills (Interpreting): - Interpreting proficiency: accurate, professional consecutive/simultaneous interpretation in your language pair(s), following confidentiality and ethics standards. - Clear bilingual communication (C2 English + target language): fluent across speaking, reading, and listening. Key Skills (Coordination): - Scheduling & team coordination: managing interpreter availability, confirmations, and last-minute staffing gaps under time pressure. - Multitasking & prioritization: juggling multiple interpreters' schedules and shifting assignment needs simultaneously without dropping coverage. - Conflict resolution: smoothing over scheduling clashes, last-minute cancellations, or interpreter/client friction calmly and quickly. - Attention to detail & recordkeeping: keeping availability, certification, and assignment records accurate and current. - Proactive problem-solving: spotting a coverage gap before it becomes a missed session and filling it fast. - Time management: meeting confirmation deadlines (e.g., the 72-hour window) consistently across a full roster. - Interpersonal/people management: coaching interpreters on quality feedback and keeping team morale steady. - Adaptability: handling last-minute changes in client needs, session types, or language demand without losing organization. - Basic tech fluency: comfortable learning and working across scheduling/dispatch platforms and shared trackers.
