We are looking for a highly professional and organized Sales Support & Appointment Setting Specialist to serve as the first point of contact for prospective clients. This role is focused on responding to inbound leads, qualifying opportunities, and scheduling appointments for a luxury residential construction company.
The ideal candidate is confident on the phone, highly organized, and experienced in handling high-intent leads while delivering a premium customer experience.
Core Responsibilities:
Lead Response (Speed = Opportunity):
- Respond promptly to inbound leads from Instagram, website inquiries, and referrals.
- Call new leads as the first point of contact.
- Follow up via phone call and SMS when prospects are unavailable.
- Maintain consistent follow-up efforts with 3–5 contact attempts per lead.
- Ensure no qualified lead is left unattended.
Lead Qualification (Core Function):
- Assess and qualify leads based on project type (Backyard, ADU, Full Remodel, and other residential projects).
- Budget alignment with luxury construction services.
- Project timeline and readiness to move forward.
- Confirmation of decision-maker involvement and authority.
Appointment Setting (Authority-Based Approach):
- Position consultations confidently and professionally rather than requesting appointments.
- Present the value of the consultation process and guide prospects toward the next step.
- Offer available appointment slots and manage scheduling efficiently.
- Create appropriate urgency based on availability.
- Confirm appointments clearly and professionally.
Brand Representation:
- Deliver a premium customer experience during every interaction.
- Communicate with professionalism, confidence, and composure.
- Maintain a structured, organized, and client-focused approach.
- Represent the company's high-end brand image at all times.
- Avoid aggressive or overly sales-oriented communication styles.
CRM Management:
- Accurately log all lead activities within the CRM.
- Update lead statuses including: New, Contacted, Qualified, Booked, Dead.
- Record detailed notes including budget, objections, project details, and client intent.
- Maintain disciplined follow-up and pipeline management.
Requirements:
- Minimum of 3 years of experience in appointment setting, sales development, lead qualification, customer service, or client-facing roles.
- Strong experience handling inbound or high-intent leads.
- Excellent English communication skills, both written and spoken.
- Clear, neutral, or professional international accent suitable for US-based clients.
- Strong phone presence and ability to build rapport quickly.
- Experience using CRM systems and maintaining accurate records.
- Highly organized with strong follow-up and time management skills.
- Experience in luxury services, construction, real estate, home improvement, or high-ticket sales is highly preferred.
