Requirements and responsibilities

Are you highly organized, compassionate, and experienced in supporting medical practices? We are looking for a Medical Virtual Assistant (Bilingual English/Spanish) to provide full-time administrative support for a busy healthcare office by managing patient communication, scheduling, administrative workflows, and day-to-day office operations. This is a patient-facing role for someone who is proactive, detail-oriented, and able to multitask in a fast-paced medical environment while delivering exceptional customer service. The ideal candidate is fluent in both English and Spanish, communicates with empathy and professionalism, and can work independently with minimal supervision. Responsibilities: - Answer incoming patient phone calls in English and Spanish. - Schedule, reschedule, and confirm patient appointments. - Manage provider calendars and maintain an organized appointment schedule. - Monitor and process incoming electronic faxes. - Assist with English-Spanish interpretation during patient calls when needed. - Serve as a communication bridge between the provider and Spanish-speaking patients. - Respond to patient inquiries professionally and efficiently. - Update and maintain accurate patient records and administrative documentation. - Coordinate daily office workflows and administrative tasks. - Ensure timely follow-up with patients regarding appointments and requests. - Communicate with professionalism, empathy, and confidentiality at all times. - Support the physician and office staff with additional administrative duties as needed. What We are Looking For: - Previous experience working in a medical office, clinic, or healthcare environment. - Fluent in both English and Spanish (spoken and written). - Neutral, clear, and easy-to-understand English accent. - Excellent verbal communication and customer service skills. - Strong multitasking and organizational abilities. - Comfortable handling high call volumes and patient interactions. - Ability to work independently without constant supervision. - Detail-oriented, reliable, and proactive. - Warm, respectful, trustworthy, and compassionate personality. - Experience with appointment scheduling, calendars, and medical administrative tasks. Do NOT Apply If: - You are not fluent in both English and Spanish. - You do not have experience working in a medical or healthcare environment. - You struggle to multitask while maintaining accuracy. - You are uncomfortable speaking with patients over the phone. - You need constant supervision to complete your work. - You have difficulty staying organized in a fast-paced environment.
