Remote Operations Manager (Full-Time – U.S. Service Business)
This is not a typical VA or assistant role — this is a true operator position.
You will manage the day-to-day operations of a growing U.S.-based service business and act as the right hand to the founder. The ideal candidate is proactive, decisive, organized, and ready to take ownership.
The company currently operates under an owner-operator model, and this role is intended to transition operational control to a highly motivated individual who can take initiative, solve problems, and build systems that will eventually replace themselves.
As the business grows, you’ll also have the opportunity to earn performance-based bonuses of up to 10% of company profits, depending on your impact, reliability, and ability to fully manage operations.
Requirements and Responsibilities
We are hiring a full-time Remote Operations Manager to run the day-to-day operations for a fast-growing U.S.-based service business offering roofing, siding, custom cabinets, fencing, and tree work.
You will coordinate subcontractors, manage a virtual assistant, answer phones, respond to customer inquiries, and ensure that jobs move from lead to completion efficiently. You will also play a key role in helping design, implement, and refine the systems that you will be responsible for managing.
Key Responsibilities
- Answer incoming phone calls and text inquiries from potential and current customers.
- Qualify leads and assign pricing tiers based on internal pricing guidelines.
- Coordinate subcontractors for estimates, scheduling, and job execution.
- Handle customer intake using scripts, forms, and follow-up procedures.
- Manage and oversee a virtual assistant handling forms, review requests, and follow-ups.
- Track project timelines using Trello, Google Sheets, or Notion.
- Communicate with clients, follow up on job progress, and ensure customer satisfaction.
- Send quotes and basic invoices (we use QuickBooks or similar tools).
- Monitor and manage inbound leads from Facebook, Google My Business, and website forms.
- Provide weekly status reports to the owner with updates, issues, and metrics.
- Help build and improve systems, workflows, SOPs, and communication processes.
Requirements
- Native or fully fluent in English; Spanish fluency is a strong plus.
- Comfortable speaking on the phone and handling customer questions with confidence.
- Minimum of 2 years of experience in operations, project coordination, logistics, or customer service.
- Experience working remotely for a U.S.-based company.
- Able to work full-time during U.S. business hours (CST).
- Excellent communication, organization, and time management skills.
- Highly proactive and capable of making independent decisions within given boundaries.
- Comfortable with tools like WhatsApp, Trello, Google Workspace, and basic CRM/invoice platforms.
- Reliable internet connection and a professional home work setup.
