Requirements and responsibilities


Key Responsibilities: - Recording Workflow Tracking: - Track all recording submissions (deeds, mortgages, UCCs, etc.). - Maintain status updates: submitted, pending, accepted, rejected. - Monitor turnaround times and flag delays. - Rejection & Resubmission Support: - Log and categorize rejection reasons. - Alert the main recorder of needed corrections. - Track resubmissions to ensure timely completion. - Portal & Dashboard Management: - Keep the recording portal or internal tracking system updated. - Provide real-time visibility into workload and performance. - Maintain clean, organized records for each file. - Recording Package Preparation: - Organize and label documents before submission. - Verify completeness of packages (administrative review only). - Ensure correct county, document type, and filing sequence. - Quality Control Support: - Perform light QA checks on document naming, county selection, and document grouping. - Ensure consistency with internal filing standards. - Productivity & Performance Tracking: - Track how long recording tasks take. - Identify workflow bottlenecks and inefficiencies. - Assist in reporting on volume and turnaround metrics. - General Administrative Support: - Assist with inbox management related to recording updates. - Organize digital folders and naming conventions. - Support scaling of operations as volume increases. Required Qualifications: - Experience working in a title company, document recording, or real estate back-office environment. - Strong organizational and tracking skills. - High attention to detail and accuracy. - Ability to manage multiple files simultaneously. - Comfortable working with portals, spreadsheets, and tracking systems. - Excellent written communication skills. Preferred Qualifications: - Familiarity with: - Simplifile. - ACRIS. - Qualia. - County recording processes. - Experience supporting high-volume document workflows. - Understanding of deeds, mortgages, and UCC recording lifecycle.
