In this role, you will act as a core operational front-line team member—managing incoming calls, evaluating client inquiries, accurately routing callers, coordinating calendar appointments, and capturing detailed call notes. Key Responsibilities Call Handling & Intake Triage: Manage incoming client calls via RingCentral using established firm scripts. Identify whether callers are new or existing clients, determine the nature of their bankruptcy or legal matter, and assess if the call involves an urgent issue requiring immediate escalation. Simultaneous Interpretation & Bilingual Communication: Provide fluent English and Spanish communication, including real-time interpretation during calls when needed to bridge communication between clients and internal office staff. Smart Calendar Management & Rescheduling: Oversee appointment scheduling using Google Calendar. Intelligently route missed appointments to either the Intake Specialist (for prospective clients) or directly to Veronica (for existing/post-intake clients). Detailed Note-Taking & Message Logging: Utilize RingCentral’s note-taking tools to log comprehensive, high-detail notes for every caller, ensuring all key context, questions, and urgent matters are thoroughly documented. Proactive Follow-Up & Workflow Execution: Understand next steps in the legal client journey to route matters correctly. Perform relentless, proactive follow-ups with Veronica and the legal team to keep tasks on track and maintain clear task prioritization. Daily End-of-Day (EOD) Reporting: Compile and submit a comprehensive daily summary report at the end of each shift detailing all received calls, client inquiries, key messages, and required action items. Requirements Legal Practice Familiarity: Prior experience working in a law firm environment, with a practical understanding of fundamental legal terms and procedural concepts (e.g., motions, hearings, bankruptcy matters). Bilingual Proficiency: Professional fluency in both written and spoken English and Spanish, with the ability to perform real-time interpretation during calls. Communication & Active Listening: Exceptional verbal communication skills and a meticulous approach to note-taking and gathering comprehensive details from callers. Task Prioritization & Sound Judgment: Strong ability to differentiate urgent matters from standard inquiries, understand legal workflow steps, and prioritize tasks effectively without constant supervision. Tech-Savvy & Adaptable: Proficiency with cloud-based communication tools (such as RingCentral, including its note-taking features) and scheduling tools (such as Google Calendar).
