Role Overview:
- The Project Lead – CXO Engagement & Events will own end-to-end planning and execution of CXO programs, including data research, targeted outreach, event operations, and on-ground execution.
- The role requires strong communication, excellent coordination skills, and comfort working with senior stakeholders and demanding timelines.
- This position combines strategic planning, hands-on event delivery, client servicing, and execution discipline to ensure high-quality CXO engagement programs.
- The role is suited for a professional who can manage details, maintain stakeholder confidence, and contribute to stronger event formats and engagement outcomes.
CXO Data Research and Profiling:
- Identify and research relevant CXOs across industries, companies, and regions.
- Build and update detailed profiles, segments, and target lists.
- Track participation history, interests, and engagement levels.
Data Management and Reporting:
- Maintain and clean CXO databases, mailing lists, and invitee trackers.
- Use Excel or Google Sheets to manage dashboards, status trackers, and reports.
- Ensure data accuracy, deduplication, and timely updates.
Outreach and Communication:
- Draft and send invitation emails, reminders, and follow-ups to CXOs and their offices.
- Coordinate with executive assistants, chiefs of staff, and client teams.
- Support creation of communication templates, nurture journeys, and feedback forms.
CXO Event Planning and Logistics:
- Coordinate internal and external partners for smooth event planning and delivery.
- Manage timelines and ensure deliverables are met across all workstreams.
- Support venue, production, hospitality, and agenda coordination for CXO-focused programs.
On-Ground Event Management:
- Travel to event locations and manage registrations and guest experience.
- Oversee registration desk, badging, seating, and flow of CXOs and speakers.
- Coordinate with client, venue, and production teams during live events.
Client Servicing and Stakeholder Management:
- Work closely with client teams to understand objectives and success metrics.
- Share regular updates, trackers, and post-event reports.
- Address client queries promptly and manage expectations professionally.
Strategy and Presentation Support:
- Support in crafting CXO engagement strategies and event concepts.
- Build professional presentations in PowerPoint, Keynote, or Canva for clients and internal reviews.
- Collate insights from past events to refine strategy, formats, and messaging.
AI and Research Enablement:
- Use AI tools for research, content drafting, list building, and initial data analysis.
- Experiment with AI for productivity, including summarizing reports, drafting mailers, and building slide outlines.
- Stay updated on tools that can enhance CXO engagement and event delivery.
Communication and Stakeholder Skills:
- Excellent written and verbal communication.
- Ability to interact confidently with senior stakeholders and their offices.
- Strong email etiquette, presentation, and documentation skills.
Research and Analytical Capability:
- Strong online research skills across companies, sectors, CXO movements, and events.
- Ability to synthesize information and maintain structured databases.
- Comfort working with qualitative and basic quantitative data.
Data and Tools:
- Strong Excel or Google Sheets skills, including filters, pivot tables, lookups, and basic dashboards.
- Proficiency in PowerPoint, Keynote, or Canva for presentations.
- Experience with CRM or marketing tools is an added advantage.
Event and Project Management:
- Prior experience in corporate events, CXO programs, or B2B marketing is preferred.
- Strong planning, multitasking, and deadline management.
- High ownership mindset and comfort with on-ground execution.
AI and Tech Savviness:
- Hands-on usage of AI tools such as ChatGPT, Perplexity, Gemini, or Copilot for research and content.
- Willingness to learn new tools to improve efficiency.
- General comfort with digital collaboration tools such as Teams, Zoom, project trackers, and shared drives.

Qualifications:
- Graduation in any discipline; an MBA or postgraduate qualification in Marketing, Communications, or Event Management is a plus.
- 2 to 3 years of experience in CXO programs, corporate events, or related B2B engagement roles.
- Experience working with competition or comparable agencies will be an advantage.
