Responsibilities

I'm the owner of a busy U.S. immigration law firm, and I’m looking for a sharp, bilingual Executive Assistant who can help manage my life, my firm, and the evolution of both. You’ll handle executive support (calendar, travel, follow-ups), oversee staff accountability and firm systems, and most importantly begin integrating AI and automation into our operations to reduce busywork, eliminate inefficiencies, and help us scale smarter. This is not a typical assistant job. You’ll be a thought partner, an implementer, and someone who makes things better without needing to be micromanaged. Responsibilities: Executive Support: - Manage my calendar, scheduling, travel, and priorities. - Keep track of important follow-ups (personal and professional). - Help me stay focused on high-level tasks by owning the details. Law Firm Operations: - Monitor staff accountability and keep systems running efficiently. - Improve and document processes (intake, follow-ups, filings, etc.). - Interface with vendors (website, phone system, marketing) to drive projects forward. - Help manage Clio Grow and Clio Manage usage across the team. AI & Automation (Entry-to-Mid Level): - Set up automations with tools like Zapier, Make.com, or Power Automate. - Begin integrating ChatGPT (via web or API), Azure OpenAI, or Google tools to: - Draft legal narratives (I-589, I-601A, waivers, asylum). - Auto-translate documents and email responses (Spanish ↔ English). - Summarize voicemail or meeting notes. - No need to code—just know how to figure things out or work with low-code tools. You’re a Fit If You: - Live in Latin America and are fluent in English and Spanish. - Have experience supporting a business owner or law firm. - Are organized, proactive, and resourceful. - Can spot inefficiencies and make them disappear. - Know (or can quickly learn) tools like Zapier, GPT, Clio, Google Workspace, Dialpad. - Don’t wait to be told what to do—you think, plan, improve, and act. Compensation: - $1,200–$1,800 USD/month, based on experience and initiative. - Part-time to start (25–30 hours/week), with potential for full-time. - Long-term, stable remote role with flexibility (some overlap with Eastern Time). Bonus Skills (Not Required but Strong Plus): - Familiarity with U.S. immigration law firm workflows. - Experience building automations with GPT, Whisper, or Clio integrations. - Basic spreadsheet automation or form-to-document systems. What Success Looks Like: - You take full ownership of calendar, priorities, and follow-through without constant reminders. - You identify and fix inefficiencies in workflows without being asked. - You build or suggest 1–2 meaningful automations in the first 60 days. - You reduce my day-to-day mental load by staying ahead of tasks and communication. - You use AI and automation tools to reduce time spent on repetitive work. - You document your systems clearly so they can be repeated and scaled.
