We're not looking for a traditional "Operations Manager".
We're a small, mission-driven immigration law firm that thrives on heart, hustle, and systems that scale. We've got a strong foundation and we’re looking for someone who’s ready to help us build the next level, not just manage what’s already there.
About the Role:
This role is for someone who:
* Loves identifying friction points and architecting solutions from scratch.
* Has a builder’s mindset: test, iterate, implement, measure, and improve.
* Thrives in unstructured environments where you wear multiple hats.
* Can zoom out to strategize and zoom in to tweak a process or train a team member.
* Communicates clearly, kindly, and often. You’re the bridge between people and systems.
You’ll partner directly with the owner and managing paralegal to shape how we run from intake to delivery, marketing to finance, and everything in between.
What You'll Be Doing:
Systems & Process Design.
* Spot inefficiencies before others do and build processes to fix them.
* Create and improve SOPs, checklists, and templates across all departments.
* Pilot automations and integrations (Monday.com).
* Help us define and track what "success" looks like for each role and workflow.
Operational Leadership:
* Roll up your sleeves to troubleshoot real-time ops challenges (e.g., intake bottlenecks, scheduling delays, resource gaps).
* Work closely with team leads to make their jobs easier and more efficient.
* Lead internal A/B tests—e.g., Should we shift pod composition? Is a new onboarding sequence more effective?
People & Team Enablement:
* Communicate expectations and improvements clearly up, down, and across the org.
* Train staff on new systems or processes you help create.
* Collaborate with the Managing Paralegal to monitor workloads and redistribute work to prevent burnout.
Data & Continuous Improvement:
* Use data from time tracking, case progress, and utilization rates to recommend changes in staffing, pricing, or workflows.
* Help define and refine KPIs to reflect real impact not vanity metrics.
Ideal Candidate Profile:
* 5–8 years experience in a fast-paced small business, startup, or consultancy not just in maintenance mode but in building systems.
* Prior experience in legal ops or tech-enabled services is a plus, but not required.
* Loves tools like Monday.com, Docketwise, Everhour, and isn't afraid to suggest others.
* Thinks in frameworks but adapts to humans.
* Excellent communicator, both in writing and in leading meetings/trainings.
* Knows how to prioritize ruthlessly what needs fixing today vs. what can wait.
* Bilingual (Spanish-English) preferred but not required.
This is NOT the role for you if...
* You thrive in already-built systems with little change.
* You’re most comfortable when the boundaries are clear and unchanging.
* You want to only manage, not create or analyze.
We’re a scrappy and heart-led immigration firm trying to do things differently. We care about the humans we serve and the humans we work with. If you’re looking to leave your fingerprints on a growing company and you’re not afraid to get your hands dirty this might be your place.
