Job Title: Medical Virtual Receptionist (Bilingual Spanish) – Full Time. Location: Remote. Schedule: Monday–Friday, 9:00 AM – 6:00 PM CST. About the Role: We are seeking a highly reliable, detail-oriented Bilingual (Spanish/English) Medical Virtual Receptionist to support a fast-paced medical practice. This role is critical in delivering excellent patient experience, ensuring efficient scheduling, and maintaining accurate documentation in a HIPAA-compliant environment. Key Responsibilities: Inbound Call Handling: - Answer incoming calls within 3 rings with professionalism and courtesy. - Verify patient identity prior to discussing any protected health information (PHI). - Follow approved triage scripts to properly direct patient needs. - Escalate urgent medical concerns immediately to clinical staff. - Accurately document all calls in the EMR system. Scheduling: - Schedule appointments based on appointment-type duration matrix. - Prevent double-booking unless explicitly authorized. - Verify insurance eligibility prior to scheduling procedures. - Enter clear and detailed scheduling notes in the system. Appointment Confirmation: - Confirm upcoming appointments 24–48 hours in advance. - Actively fill open slots using cancellation and wait lists. - Ensure patients are prepared and informed prior to visits. New Patient Intake: - Collect complete and accurate patient demographics. - Verify insurance carrier and identification. - Document the patient’s chief complaint clearly. - Identify and flag high-risk conditions for provider awareness. Qualifications: - Fluent in Spanish and English (required). - Prior experience in a medical office, call center, or virtual receptionist role preferred. - Familiarity with EMR/EHR systems (eClinicalWorks or similar is a plus). - Strong understanding of HIPAA compliance and patient confidentiality. - Excellent communication, multitasking, and organizational skills. - Reliable internet connection and quiet work environment.
