Position: Marketing Coordinator & Onboarding Project ManagerDepartment: Client DeliveryReports to: Operations DirectorRoleThe Marketing Coordinator is responsible for overseeing the onboarding, coordination, and launch of client marketing funnels and paid advertising campaigns for our Scale clients.This role ensures that each client strategy moves efficiently from planning to execution by coordinating all required assets, managing team collaboration, and maintaining clear communication with clients throughout the onboarding and launch process.The Marketing Coordinator acts as the central project manager for client marketing builds — ensuring all components of the funnel and advertising strategy are completed on time, approved by the client, and launched with excellence.ResponsibilitiesClient Onboarding & Project ManagementManage and oversee the onboarding process for new clients to ensure a seamless and professional experienceTake the approved client strategy and convert it into clear project plans and tasks for execution using AsanaCreate and manage all onboarding and build tasks in Asana so the team has clear direction and deadlinesCoordinate all moving parts required to build and launch a client’s funnel and adsMaintain organization across multiple clients and projects simultaneously while ensuring deadlines are metIdentify opportunities to streamline and improve onboarding and launch processesFunnel & Asset CoordinationTask out all required funnel components to the appropriate team members including:Funnel copyFunnel designFunnel tech buildEmail automationAd copy and ad creativeEnsure all funnel elements align with the client’s strategy and offer positioningBring together all completed assets and confirm readiness for launchReview deliverables before client submission to ensure quality and clarityTeam CollaborationCoordinate and manage the execution of projects across the following team members:CopywriterGraphic DesignerFunnel Tech / BuilderAds ManagerEnsure each team member has clear expectations, timelines, and deliverablesProactively follow up on deadlines and keep projects moving forwardCommunicate updates and blockers quickly so solutions can be implementedClient CommunicationServe as the primary point of contact during the onboarding and build phaseManage client communication related to project progress, deliverables, and approvalsPresent completed assets to clients for review and approvalGather feedback and coordinate revisions with the team when necessaryEnsure the client experience is organized, efficient, and positiveLaunch CoordinationConfirm all funnel and advertising assets are completed, approved, and ready for launchCoordinate with the ads manager to ensure campaigns are launched successfullyEnsure all funnel tracking, links, and automations are functioning correctly prior to launchMove clients from onboarding to active campaign management as efficiently as possible without sacrificing strategy depth or qualityResultsClient funnels and advertising campaigns are launched quickly and efficiently after onboardingAll required assets are coordinated and completed on time by the teamClients experience a seamless, professional onboarding and launch processCommunication between the client and internal team is clear, proactive, and organizedTeam members have clear direction and deadlines for every project taskNo deadlines or deliverables fall through the cracksMultiple client projects can run simultaneously without loss of organization or qualityFunnels and ads are launched only after meeting quality standards and client approvalProcesses for onboarding and launching clients continually improve and become more efficientRequirements2+ years of experience in digital marketing, project management, or marketing coordinationSolid understanding of marketing funnels, online offers, and paid advertising systemsNo struggles with being inside a high pressure, high performance environmentAbility to see how all pieces of a funnel fit together from strategy to executionStrong project management and organizational skillsExperience managing multiple projects or clients simultaneouslyAbility to coordinate and delegate tasks to multiple team membersStrong attention to detail and commitment to qualityExcellent written and verbal communication skillsProactive problem-solving mindset and ability to move projects forward independentlyExperience with project management software (Asana preferred)A passion for organization, systems, and improving operational efficiencyAbility to maintain urgency and move projects forward quickly without sacrificing qualityA collaborative mindset and ability to work effectively across teams
