Position overview: We're seeking a highly strategic, proactive Executive Assistant to support our founder-CEO. This is not a traditional assistant role -- it's a high-trust, operator-first position where you'll streamline execution, manage key initiatives, and ensure the business runs smoothly. Key responsibilities: • Own the CEO's calendar, travel, meetings, and logistics. • Manage the CEOs inbox: draft replies, prioritize follow-ups, and maintain clear communication. • Execute major initiatives (online courses, client training programs, social media, AI-driven tools). • Track deliverables in Todo list, Pipedrive, and Asana; ensure all stakeholders stay on schedule. • Coordinate contractors (video editors, designers, marketers) to align on deadlines and deliverables. • Craft polished copy for emails, proposals, internal documents, and client communications. • Drive accountability -- keep projects moving and ensure timely completion, including CEO tasks. • Handle occasional personal administrative tasks overlapping with business needs. • Leverage tools like ChatGPT to draft, organize, and automate workflows. Qualifications: • 3+ years supporting entrepreneurs, coaches, or founders in fast-paced environments. • Exceptional written and verbal communication skills in English. • Highly organized, detail-oriented, and proactive problem solver. • Tech-savvy and quick to learn new platforms (Kajabi, Descript, Zoom, Pipedrive). • Ability to think strategically and act as an operator, not an order-taker. Nice-to-haves: • Experience with digital course platforms (e.g., Kajabi). • Background in sales, coaching, or event coordination. • Familiarity with AI tools or content creation workflows. • Prior experience in lean, founder-led teams.
