With over 400 employees across 28 states and an active acquisition strategy, we rely on a growing team of creative thinkers and problem-solvers to build the scalable infrastructure that drives our next phase of growth.About the Role:We are seeking a seasoned Executive Assistant to provide high-level, primarily one-on-one support to our CEO, with secondary support to members of the executive team. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a dynamic, high-volume environment. The ideal candidate is a proactive problem-solver who thrives on bringing order to complex calendars, travel, and meeting logistics.Key Responsibilities:Calendar & SchedulingOwn and actively manage the CEO’s calendar, exercising independent judgment to prioritize competing demands and protect time for strategic priorities.Coordinate complex scheduling across multiple time zones, internal leaders, and external stakeholders.Proactively resolve conflicts and keep the CEO ahead of daily and weekly commitments.Travel CoordinationPlan and book domestic and occasional international travel for the CEO and, as needed, members of the executive team.Build detailed itineraries, manage last-minute changes, and ensure seamless logistics end to end.Serve as the central point of contact for executive team travel needs.Board & Executive Meeting PreparationCoordinate logistics for board meetings, executive team meetings, and leadership offsites, including scheduling, materials, and agendas.Partner with the CEO and department heads to compile briefing materials, decks, and pre-reads.Capture and track action items and follow-ups to ensure accountability.Expense & Project SupportPrepare, submit, and reconcile expense reports for the CEO.Provide light project management support on executive initiatives, tracking deadlines and deliverables.Handle ad hoc administrative tasks that keep the executive office running smoothly.Qualifications:5+ years of experience supporting C-level executives as a senior Executive Assistant.Proven ability to manage complex calendars and travel for senior leaders.Exceptional written and verbal communication skills.Demonstrated discretion handling confidential and sensitive information.Strong proficiency with calendar, travel, and collaboration tools (e.g., Outlook, expense platforms, video conferencing).Highly organized, detail-oriented, and able to juggle competing priorities independently.Comfortable working remotely with a self-directed, accountable work style.Experience in a high-growth, PE-backed, or multi-state organization is a plus.Salary Band: $85,000 - $125,000Please visit our career page and apply directly: www.naviabenefits.com/workatnaviaNot all positions allow for remote work, but those that do will only be available in the following states: AZ, CO, FL, GA, IL, IN, KS, MI, MN, MO, MT, NC, ND, NE, NJ, NV, NY, OH, PA, SD, TN, TX, UT.
