Position overview: We are looking for a seasoned Executive Assistant to provide high-level support to two key executives. This role involves managing executive communications and schedules, supporting vendor coordination, building workflows, and enforcing internal processes. Ideal candidates are sharp, assertive, organized, and comfortable navigating the fast-paced nature of both startups and the construction industry. Key responsibilities: * Monitor and manage executive emails, ensuring timely responses and appropriate prioritization. * Coordinate executive calendars, including meetings, appointments, and travel logistics via Microsoft Teams. * Communicate with team members, vendors, and subcontractors clearly and professionally. * Organize and file documents using OneDrive and other internal systems. * Assist with creating and documenting SOPs using Trainual software. * Conduct vendor research, verify qualifications, and collect necessary documentation. * Send plans out for bids, collect responses, and organize submissions for review. * Ensure subcontractors adhere to internal processes, especially around billing. * Perform light outreach to vendors for scheduling or information gathering. * Support additional administrative or operational tasks as needed. Qualifications: * Minimum 5 years of relevant Executive Assistant experience. * Background in construction, architecture, engineering, or real estate investing, due to technical language familiarity. * Exceptional organization, attention to detail, and prioritization skills. * Excellent written and verbal communication skills in English. * High level of discretion and professionalism with sensitive information. * Self-motivated, proactive, and coachable. * Strong proficiency in Office 365 (Outlook, Word, Excel), OneDrive, and Microsoft Teams. * Comfortable working independently in a remote and startup environment. * Bilingual in English and Spanish. Nice-to-haves: * Experience with BuilderTrend software. * Experience using Bluebeam Revu or Adobe Sign for document review and markup. * Familiarity with Trainual.
