RESPONSIBILITIES
* Serve as the founder’s right hand, turning ideas, conversations, and voice notes into organized next steps and completed projects.
* Keep priorities, administrative tasks, contacts, deadlines, and follow-ups organized so the founder can focus on photography, teaching, and creative direction.
* Manage selected scheduling, calls, reminders, client communication, and business logistics.
PERSONALIZED VIDEO OUTREACH
A primary responsibility will be creating and managing personalized video outreach to prospective businesses:
* Identify businesses that could benefit from Paul is Everywhere’s photography and visual-communication services.
* Research each business, website, visual presentation, and customer journey.
* Conduct focused website and visual audits that identify real bottlenecks, inconsistencies, or missed opportunities.
* Use AI to assist with research and initial analysis while personally verifying every observation.
* Create personalized video sales letters showing the prospect’s website and explaining useful, specific findings.
* Draft and send personalized emails introducing the video.
* Manage follow-ups, replies, and appointment scheduling.
* Participate in occasional video calls to provide a warm, credible human connection.
* Track leads, communications, follow-ups, and results inside Course Creator 360.
* Improve targeting, messaging, videos, and follow-up based on actual results.
AI may accelerate the work, but nothing should be sent without human review for accuracy, relevance, tone, and quality.
COURSE CREATOR 360 AND CUSTOMER JOURNEYS
* Learn and manage Course Creator 360, which is built on GoHighLevel.
* Organize contacts, leads, pipelines, appointments, communications, and follow-ups.
* Review and improve existing workflows.
* Build customer journeys for prospects, workshop participants, photography clients, art buyers, and other audiences.
* Create email, reminder, nurturing, follow-up, and re-engagement sequences that feel personal rather than mechanical.
* Test workflows before activating them and regularly confirm that automations remain accurate and functional.
* Recognize when automation is appropriate and when personal communication would create a better experience.
* Document effective processes as the business develops.
MARKETING AND CONTENT
* Help organize a practical content and marketing schedule.
* Turn the founder’s photographs, ideas, voice notes, and existing materials into content.
* Draft emails, captions, outreach, follow-ups, and client messages.
* Prepare and schedule social content using Canva and existing tools.
* Suggest practical ideas for marketing, partnerships, customer engagement, and business development.
* Support lead research, list building, CRM maintenance, and outreach.
* Review performance and identify which activities create meaningful engagement, appointments, and revenue.
PHOTO AND VIDEO SUPPORT
Photo and video editing are not the primary focus because the founder already performs this work. The assistant’s time should generally be concentrated on administration, lead generation, outreach, customer journeys, and execution.
However, familiarity with Adobe Creative Cloud and the ability to perform basic photo or video editing would be helpful for preparing video sales letters, captions, simple graphics, resized assets, and light image adjustments.
AI AND QUALITY CONTROL
* Use AI tools to improve research, writing, personalization, organization, and productivity.
* Review and correct all AI-assisted work before it reaches a client or prospect.
* Verify that website audits reference real and current information.
* Prevent AI from inventing facts, making unsupported claims, or producing generic observations.
* Improve prompts and workflows based on mistakes and results.
* Stay current with useful AI developments without adding unnecessary software or complexity.
CURRENT TOOLS
* Course Creator 360, built on GoHighLevel
* Notion

* Friendly, approachable, conversational, and professional without sounding formal or scripted.
* Comfortable speaking on video and participating in occasional client calls.

* Able to work independently without detailed instructions for every task.
* Resourceful and comfortable in a developing founder-led business where experiments and priorities may change.
* Interested in lead generation, personalized outreach, customer journeys, marketing, and business development.

* Previous experience coordinating projects or other team members.
DIGITAL-PRESENTER OPPORTUNITY
The company plans to develop personalized video sales letters using a disclosed, AI-generated version of a real team member. The digital presenter would help deliver customized website and visual audits at scale.
The candidate should be comfortable discussing the possible use of her appearance and voice for this purpose. Any digital-likeness arrangement would require informed consent, clearly defined uses, separate written terms, and additional compensation.
The employee would remain responsible for reviewing the analysis, correcting inaccuracies, approving communications, managing responses, and providing genuine human interaction when prospects want to speak with the company.
GROWTH PATH
This position begins at 10–15 hours per week. As the person learns the business and demonstrates results, she may grow into responsibility for:
* Managing lead generation and outreach.
* Owning CC360 and the company’s customer journeys.
* Managing client communication and follow-up.
* Maintaining AI-assisted systems and quality standards.
* Coordinating projects and specialists.
* Training and supervising future team members.
