This is a hands-on, judgment-driven role. We are not looking for someone who only enters transactions. You must understand what you are booking, why it matters, and be able to spot issues before they become problems. You will be responsible for maintaining accurate books, closing each month on time, producing clear financial reports, and serving as a trusted accounting partner to ownership. ________________________________________ Our Businesses Include • Construction company • Real estate / land-holding entities • Product distribution company • Law firm (including legal billing via Clio) • Asset holding company (non-real estate) Additional affiliated businesses may be added over time. ________________________________________ Core Requirements (Please Read Carefully) • Strong experience with QuickBooks Desktop / Enterprise (hosted/remote environments) • Advanced proficiency in Excel and regular use of Google Sheets (G-Suite) • Familiarity with Gusto payroll platform • Senior-level bookkeeping or accounting experience supporting U.S.-based businesses • Strong understanding of U.S. accounting practices (cash and accrual) • Ability to work consistently during U.S. Central Time business hours • Excellent written and spoken English • High integrity and discretion. You will handle sensitive financial and personal information • Ability to work directly with U.S. based CPAs on tax and accounting concerns This role requires experience, judgment, and ownership. Candidates whose background is primarily data entry will not be a fit. ________________________________________ Key Responsibilities • Full-cycle bookkeeping across multiple entities • Monthly close and reconciliation for each company • Bank and credit card reconciliations (manual and synced) • Accounts Payable (AP) and Accounts Receivable (AR) • Invoicing and billing management • Payroll coordination and processing • Preparation of monthly management reports, including: o Profit & Loss statements o Balance Sheets o Cash flow and entity-level reporting • Maintaining internal controls to ensure accuracy and consistency • Proactively identifying errors, trends, or anomalies • Supporting outside professionals (CPAs and tax attorneys) by providing clean, complete financial records • Legal billing using Clio (experience preferred; training available) ________________________________________ Construction Accounting Scope (Clarification) Construction job costing and project-level tracking are handled outside of QuickBooks. This role is responsible for maintaining clean entity-level books, not managing construction project accounting systems. ________________________________________ Tax & Compliance Clarification • This role does NOT file tax returns • We work with separate U.S.-based tax attorneys and CPAs • Your responsibility is to maintain accurate books and provide timely, well-organized financial information when requested and to collaborate with U.S. based CPAs ________________________________________ Accounting Knowledge • Strong practical understanding of GAAP concepts • Comfortable working with both cash-basis and accrual accounting • Familiar with U.S. tax workflows at a support level (not filing) • Comfortable troubleshooting bank sync issues and importing statements manually when needed ________________________________________ What We Value • Accuracy over speed • Clear, proactive communication • Ownership and accountability • Independent problem-solving • Long-term reliability and stability ________________________________________ Compensation & Structure • Full-time position • Target compensation: ~$2,000 USD per month • Willing to pay slightly higher for the right experience • Paid trial / onboarding period • Long-term role for the right candidate ________________________________________ Preferred (Not Required) • Experience with multi-entity accounting • Experience with law firm accounting or legal billing • Prior remote work supporting U.S.-based clients • CPA or accounting certification (a plus, not required) • Candidates based in Latin America with strong U.S. Central Time overlap
