This role plays a key part in a high-priority initiative to audit, migrate, and operationalize our vendor management program. The ideal candidate is a fast learner who thrives on process, takes ownership of tasks, and communicates clearly across teams. No prior vendor management experience is required — we will train you on our systems and workflows.Key responsibilities1. Vendor Audit & ReconciliationCompare vendor records across internal systems to identify gaps, duplicates, and discrepanciesIdentify internal relationship owners for each vendor and coordinate with them to initiate the required approval processTrack progress across the full vendor population and follow up until all vendors are fully reviewed and approved2. Vendor Data MigrationExport and transfer vendor records from legacy systems into the new vendor management platformMap and update data fields from existing project tracking tools into the corresponding fields in the new system, ensuring accuracy and completeness throughout the migration3. Annual Vendor OversightCoordinate outreach to distribute vendor questionnaires to all active vendors on an annual basisCollect and organize completed risk assessmentsAssign oversight responsibilities to the appropriate internal ownersFacilitate the vendor approval workflow through to completion4. New Vendor Onboarding (Ongoing)Intake new vendor requests and initiate the onboarding workflow in the vendor management systemAssign and distribute the appropriate due diligence questionnaire to the vendorUpon receipt of the completed questionnaire, schedule and facilitate a review meeting with internal subject matter expertsDuring review meetings: capture notes, support completion of the risk assessment, and document assigned oversight responsibilitiesMonitor all oversight tasks through to completion, following up with owners as neededOnce all approvals are received, route the vendor engagement to the contracting teamAfter contracting is finalized, record any identified fourth-party relationships in the vendor management systemQualifications High school diploma required; associate's or bachelor's degree preferredStrong attention to detail and comfort working through multi-step processesProficiency in Microsoft Office Suite, especially Excel and OutlookExperience with project tracking or workflow management tools a plusClear and professional written and verbal communication skillsAbility to manage a task list independently and follow through on action itemsPrior administrative, operations, or vendor coordination experience a plus but not requiredWhat we offer$19 – $22 per hour, based on experienceStructured onboarding and hands-on training in vendor risk managementExposure to compliance operations in a federally regulated lending environmentMentorship from experienced program managersOpportunity to grow within the organization as the program maturesMutual of Omaha Mortgage is an Equal Opportunity Employer, and we encourage diverse, talented, qualified applicants to apply. We offer an extensive compensation package.
