Responsibilities
The Operations Manager will manage Newstex’s operations team of 4 personnel in the areas of HubSpot CRM administration, tech support, reporting, and data processing. He or she will personally be responsible for the preparation and maintenance of internal and external data reports and workflows that allow the company to function on a day-to-day basis.
The Operations Manager controls the flow of information throughout Newstex. This means,
1) ensuring data integrity within Newstex’s CRM and its proprietary reporting systems,
2) personally processing large volumes of reports in Microsoft Excel,
3) producing documentation of Newstex’s workflows across all company departments, and
4) managing the process by which new code deployments are tested for quality assurance.
Simply put, it is your job to ensure that each member of the Newstex team efficiently receives the information that they need to do their job every day.
You will report to Newstex’s C-level management team: its COO, CEO and/or President.
Newstex team members reporting to you:
✅ HubSpot CRM administrator
✅ Tech support specialist
✅ Database reporting specialist
✅ Accounts payable specialist
What you’ll be working on:
✅ Managing how we use HubSpot to assist content acquisition and tech support
✅ Constant QA and manual updates to HubSpot data in response to support enquiries
✅ Managing Newstex’s support tickets and tech alerts
✅ Developing workflow documentation practices throughout the company
✅ Analyzing data in HubSpot & Excel for quality assurance
✅ Developing external and internal reporting capabilities in consultation with our database engineer
✅ Consulting with software engineers on long-term, strategic projects involving Newstex’s data and sales operations practices
Requirements
✅ A remote worker within the following time zones: UTC-6 to UTC+1
✅ Professional English-language fluency
✅ A fast internet connection that allows for video calls and unlimited data usage
✅ The ability to work from home, undistracted and in a stable environment
✅ 3+ years’ experience managing a team of 3+ people remotely
✅ 2+ years’ experience testing data quality within information databases
✅ 2+ years’ experience working with software developers or a software development agency
✅ 1+ years’ experience managing data flows between platforms, ideally from sales intelligence tools (such as ZoomInfo) to HubSpot CRM
✅ Basic knowledge of SQL
✅ Experience with ticket management software, e.g. Asana, JIRA, HubSpot Service
✅ Expert in HubSpot administration or similar CRM
✅ Expert in Microsoft Excel
✅ Self-sufficiency: you’ll be accustomed to working remotely and ofte figuring things out on your own.

Nice to have
✅ HubSpot and/or Microsoft Excel certifications
✅ A university degree
✅ Familiarity with RSS feed requirements and XML formatting standards
✅ Knowledge of JavaScript and/or TypeScript
✅ Experience with Amazon Web Services
✅ Experience within a GTD (“Getting Things Done”) software development environment
✅ Physical presence in United States
✅ You are expected to work around 30-40 hours per week.
