We are a Texas-based land investment company that acquires large rural tracts, subdivides them into 10–14 acre parcels, and sells them with owner financing. When we sell, we regularly perform collateral substitutions — releasing the lender’s lien from the real estate and perfecting the security interest against the newly created note. We currently manage a growing portfolio of ~65–70 owner-financed notes and need a reliable, detail-oriented bookkeeper who can keep our QuickBooks clean, our note tracking accurate, and our collateral documentation organized and auditable. Key Responsibilities: - Set up and maintain owner-financed notes in QuickBooks Online (Notes Receivable, proper customer/deal setup, amortization schedules). - Accurately allocate payments between principal and interest. - Track and document collateral substitutions (release of lien from land, attachment of new collateral to the note, and maintenance of supporting documentation). - Maintain supplemental tracking (Excel or Google Sheets) for collateral positions, note balances, maturity dates, and payment history that ties cleanly to QuickBooks. - Prepare monthly portfolio reports including aging (current, 30/60/90+), delinquency tracking, and portfolio performance vs. acquisition debt. - Perform monthly reconciliations and flag issues early (unusual items, missing documentation, posting errors). - Keep clean audit trails so supporting documents (lien releases, substitution agreements, closing statements) are easy to locate and review. Requirements: - Strong experience with QuickBooks Online (ideally QuickBooks ProAdvisor). - Experience with notes receivable, lending, or secured transactions is highly preferred. - Comfortable working with collateral documentation and understanding the importance of clean records for compliance and lender reporting. - Detail-oriented with strong organizational skills — we value accuracy over speed. - Able to work independently and communicate clearly via email or WhatsApp.
