Requirements and responsibilities


We’re looking for a highly organized and proactive Executive Assistant to support multiple executives within a fast-paced ecommerce brand. This role combines executive support, customer service coordination, and operational assistance, making it ideal for someone with strong communication skills, excellent time management, and the ability to multitask effectively in a UK-aligned remote environment.Core Tasks:Monitor multiple inboxes to triage and respond to client questions and concernsManage a calendar including scheduling, meetings, and travel arrangementsServe as a contact between employees, clients, and external partnersPrepare/ edit correspondence, communications, presentations, reports, and other docsCoordinate meetings, set agendas, take minutes, and prepare follow ups / action itemsPerform other ad-hoc tasks with limited instruction as neededBuild out role-related SOPs and FAQs for faster and more accurate responsesMonitor inbox to assist customers, answer questions, and escalate issues when neededTroubleshoot issues with account supportHandle customer inquiries with a <1 hour SLA timeGather product knowledge to properly educate customersMust-Haves:3+ years' experience in an EA or admin role covering multiple executivesExperience in a Customer Service-related roleExceptional verbal and written English communication skillsExperience using notetakers and AI tools to create documentationStrong organizational and planning skillsExcellent time management skills and ability to multitask and prioritizeAbility to work full-time UK aligned hoursNice-to-Haves:Background working in ecommerce (preferably a consumables / supplements brand)1+ year's experience with professional helpdesk tool like Gorgias (or similar)Event planning experience (organizing corporate events, conferences, workshops, etc)
