We are looking for a highly motivated, diligent, and skilled individual to join our exciting and dynamic Corporate Development team as a part-time Executive Assistant. The successful candidate will work alongside Corporate Development’s full-time Executive Assistant, supporting the team broadly. The role requires exercising superior judgment, advanced technical proficiency, and exceptional time management skills. The Executive Assistant will be focused on developing strong, collaborative relationships across multiple constituents to enable progress and must act as an extension of the team they support in various communications. The successful candidate will have 5 years of prior, relevant work experience supporting diverse teams and senior executives, superior proficiency with technology skills, and extensive calendar management capability. The role also requires in-office presence at least 3 days per week. Responsibilities: - Coordinate complex internal and external scheduling and extensive calendar management for the group head and other senior team members - Handle logistics for team meetings, including anticipating technology needs and hybrid-work environment concerns, assist with preparing materials, and tracking meeting attendees - Coordinate meetings and interactions between partners across the firm, executive management, and external parties - Represent the leaders and the team as a key contact for the work they lead - Develop and maintain strong, credible relationships across the firm - Coordinate travel, manage expenses for team members, and submit invoices for payment to vendors - Manage records and business continuation plan for the department - Submit ISAMS (Information Security Request) for the team - Submit GETS reporting and approvals for the team, as needed - Plan events for the team (e.g., team outings, volunteer events) - Coordinate the purchase of office supplies and furniture, office equipment, etc., for staff in accordance with company purchasing policies and budgetary guidelines - Assist with ad hoc projects, as needed
