Responsibilities


Before we get into the details: I’m flexible with all the tech stuff, tools, and systems. What matters most is that you're ready to work hard, grind with me, and keep the chaos under control. I need someone who can stay calm, keep me organized, and help keep the visionary (me) locked in and moving forward. If you're proactive, detail-obsessed, and can run with things without constant hand-holding we’ll be a killer team. Daily Responsibilities: - Track and chase overdue/failed payments (Wave, PayPal). - Update and maintain payment logs and upcoming payment projections. - Update lead and client tracking sheets (CRM, KPIs, active rosters). - Flag inactive or at-risk clients to me or the coaches. - Update client check-in notes weekly from my voice messages. - Be available for random urgent admin tasks (booking calls, small research, reminders, etc.). - Work as my executive assistant VA for any other tasks assigned. Weekly Responsibilities: - Prep meeting agendas and follow-ups for the team. - Ensure action items are tracked and completed. - Update and maintain business budget and subscription list. - Keep backend systems, files, and docs organized and up to date. Requirements: - Fluent English (C1 or better, written and spoken). - Solid experience with Google Sheets, Slack, Wave, PayPal, Calendly, Notion (not required I can teach you). - Reliable internet and a quiet workspace. - Proactive personality you stay ahead of tasks and ask smart questions. - Available daily (preferably 7 days per week, but we can discuss days off entirely or limited hours) with 3–4 hours overlap with Arizona (MST) time zone. - High integrity you’ll be trusted with sensitive financial and client info. Nice to Have (Not Required): - Familiar with FitBudd, PandaDoc, or Loom. - Background in the fitness, nutrition, or coaching space. - Light content-handling or document formatting skills.
