Title: Independent Contractor – CPT-11110 Executive Virtual Assistant (Construction Operations Support)/Business Support/Senior Level (Remote).Overview20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.We are seeking a highly organized and proactive Executive Virtual Assistant to support a fast-paced construction company specializing in steel erection, electrical works, and painting services across commercial and industrial projects.This role is designed to support senior leadership (COO, President, and VP-level executives) by managing administrative workflows, email coordination, calendar scheduling, vendor outreach, and operational documentation.The ideal candidate is detail-oriented, dependable, and comfortable handling multiple inboxes and fast-moving operational tasks in a construction environment.The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.Scope of ServicesContractors will be required to provide services that align with the following client tasks:Executive Email & Communication ManagementManage and organize multiple executive email inboxes (COO, President, VP)Sort, prioritize, and respond to emails on behalf of leadership when appropriateFlag urgent matters and ensure timely follow-upsReduce inbox overload by filtering and organizing communicationsCalendar & Scheduling SupportManage and coordinate executive calendarsSchedule and confirm meetings, internal discussions, and vendor appointmentsSend reminders and ensure all meetings are properly organizedSupport daily planning for leadership teamsVendor & Operational SupportAssist with vendor outreach and initial communicationsHelp initiate vendor relationships and track follow-upsSupport vendor coordination tasks and basic acquisition activitiesMaintain organized records of vendor interactionsAdministrative & Documentation SupportOrganize files, documents, and operational recordsAssist in maintaining structured digital filing systems (Google Drive / Microsoft tools)Support creation and updating of internal tracking spreadsheets (Excel-based)Help document job updates, contracts, and project-related informationProject & Operations AssistanceAssist with tracking ongoing construction projects and updatesSupport communication between internal teams and field operationsHelp ensure compliance-related documents are properly stored and updatedProvide general administrative support as neededEach engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.SkillsThe Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:Previous experience as an Executive Assistant or Administrative Virtual AssistantStrong email management and calendar coordination experienceExcellent written and verbal English communication skillsHighly organized with strong attention to detailAbility to manage multiple executives and priorities simultaneouslyComfortable working in a fast-paced, operational environmentProficient in Google Workspace and Microsoft Office (especially Excel)Able to work independently with minimal supervisionPreferred QualificationsExperience supporting construction, operations, or logistics teamsFamiliarity with vendor management or procurement workflowsExperience handling multiple inboxes for executives or leadership teamsBackground in administrative support for field-based industriesTools & SystemsGoogle Workspace (Gmail, Drive, Calendar)Microsoft Office (Excel, Word)Spreadsheet-based tracking systemsEmail and calendar management toolsWork ScheduleContracted Hours per Week: 20 HoursScheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)Daily Working Time: 7 AM- 11 AM PSTNote: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above.
