Billing Cycle Responsibilities: - Own the 14-day billing cycle end-to-end in Clio Manage. - Generate pre-bills and route them to 6 attorneys and 3 paralegals for review. - Enter edits and write-downs, finalize invoices, and deliver them to clients on schedule. - Catch problems before bills go out, including missing time entries, wrong rates, misassigned matters, and language that conflicts with the fee agreement. Trust Accounting Responsibilities: - Apply client trust funds to invoices per attorney instructions. - Send evergreen retainer replenishment requests and track compliance with fee agreement terms. Payments and Receivables Responsibilities: - Post payments and keep client ledgers and A/R aging clean. - Follow up professionally with clients on past-due balances. - Set up payment plans when approved and monitor them to ensure compliance. Reporting Responsibilities: - Send weekly reports to management and the legal team regarding billed, collected, WIP, A/R aging, and realization. - Flag any negative trends before they become problems. - Engage in ongoing discussions with the law firm manager and owner regarding billing and receivable status, typically via WhatsApp. Occasional Responsibilities: - Handle billing submissions and matter billing setup, including rates, billing contacts, and retainer requirements for new engagements. Required Qualifications: - 5+ years of legal billing experience for US law firms. - 2+ years of hands-on Clio Manage billing experience, including generating, editing, and finalizing invoices. - Native-level spoken and written English proficiency. - Availability Monday through Friday, 8:00 AM to 5:00 PM Pacific Time. - Familiarity with California attorney trust accounting (IOLTA) rules. - Strong proficiency in using AI tools such as ChatGPT, Claude, or Gemini for email drafting, data analysis, etc. - Obsessive attention to detail regarding numbers, rates, and compliance language in fee agreements. - Reliable high-speed internet, a quiet dedicated workspace, and a backup power and internet plan. Preferred Qualifications: - Experience with QuickBooks Online. - Prior long-term remote work experience for a US law firm.
