Be responsible for managing information flow, priorities, and execution.Full-time (based in Europe) with a monthly salary of $2,500–$3,000I started weThink as an analytics startup focused on helping high-stakes teams perform better under pressure. We work closely with U.S. Department of Defense partners and other complex organizations where clarity, precision, and sound decision-making are crucial. What we build sits at the intersection of data, human behavior, and real-world execution. We’re a small, global team working across the US, Asia, and Europe. We value trust, calm execution, and high standards without chaos. Things move fast here, but we care deeply about doing work properly, building systems that last, and supporting each other as humans—not just roles. We’re looking for an Executive Assistant to the Founder & CEO who acts as a true extension of me. This role exists to reduce my cognitive load, surface priorities, and ensure nothing critical is lost in complexity. This is someone who takes full ownership of information flow, communication, and follow-through, and who enjoys creating clarity so I can stay focused on strategy, partnerships, and growth. Own inbox and calendar management across business and some personal mattersCoordinate scheduling, meetings, and travel across multiple time zonesDraft emails, messages, and documents independently in my voiceTrack follow-ups and ensure commitments don’t slip through the cracksCreate and maintain systems in Notion for projects, decisions, and documentationCoordinate with a global team and delegate tasks when neededSupport operational execution across multiple parallel initiativesBe comfortable making real-time prioritisation decisions when context is incomplete, and escalate only when necessaryThis is a full-time role with flexible hours, requiring at least 4-6 hours of overlap with the US Mountain Time (MT) zone. RequirementsMust-have requirements5+ years experience as an EA, Chief of Staff or Ops Coordinator, supporting a founder or senior executive in a fast-moving environmentProven ownership of inbox and calendar managementStrong written English and ability to represent an executive’s voice accuratelyDemonstrated Problem-Solving ability - must be a "thinking human being," capable of troubleshooting complex, novel issues without step-by-step guidance.High Perspective-Taking ability - the capacity to quickly internalize the CEO's context (e.g., travel, social events) and design solutions that align with a high-stakes, multicultural environment.Enterprising Mindset - ability to think like an owner, take full accountability, and proactively determine the best path to a desired outcome.Systems-oriented mindset with strong follow-throughExperience improving workflows or documenting repeatable processesHigh discretion and reliability, especially handling sensitive personal and professional dataFluency with Google Suite, Notion, Slack, and modern productivity toolsLocation Requirement: Must be legally based in Europe (EU, EEA, or UK) to facilitate necessary travel.Brownie pointsComfort using AI-enabled productivity toolsLong-term interest in executive support as a craft, not a stepping stoneThe ideal candidate is calm, proactive, and quietly confident. They think a few steps ahead, communicate clearly, and take pride in protecting another person’s focus. They’re steady under pressure, highly organized, and emotionally intelligent. Critically, they possess the social understanding and sophistication required to manage both the CEO's personal and professional life, including high-stakes travel and exclusive events. They are comfortable working with a decisive founder who has high expectations and views this role as a long-term, full-time commitment, not a short-term contract or side-gigBenefitsWhat’s in it for you?Salary: $2,500–$3,000 USD per month*Full-time role, fully remote20 days paid time off per year (use them when you need them)Paid sick leaveFlexible working hours with trust and autonomyLong-term role with real responsibility and impactExposure to high-level decision-making and strategy*Please note that this is a gross salary and that you are responsible for any tax-related procedures in your country of residence.
