Bilingual Maintenance & Tenant Communications Coordinator (Virtual, Contract) Schedule: Mon-Fri, 10:00 AM-6:00 PM Mountain, plus on-call two weekends per month Type: Independent contractor Pay: $5-$7/hour, full-time, salary About the Role We manage 105 residential rental units and are adding a bilingual (English/Spanish) coordinator to our tenant communications and maintenance team. You'll work under our property manager alongside another communications specialist who covers the other hours, so clear handoffs and good notes matter. Day to day, you'll handle around 4-5 maintenance items, from first call to completed work, and you'll be a go-to contact for tenants who need help with anything else. What You'll Do Tenant communication Answer incoming calls and texts in English or Spanish Help tenants work through non-maintenance questions and problems (account questions, lease and policy questions, access and scheduling issues, neighbor concerns) and escalate anything that needs a manager's decision Keep tenants updated so they never have to wonder where their request stands Maintenance intake and triage Gather details (what, where, how long, photos) and decide what needs immediate attention versus what can wait Escalate emergencies according to our protocol, which we'll define together during onboarding Vendor coordination Schedule and confirm vendors and techs, coordinate tenant access, and communicate with Spanish-speaking vendors when needed Dispatch within your approved spending authority and route larger estimates to the property manager Verify that work was actually completed Follow-up and records Follow up on every open item: waiting on a tenant, vendor, estimate, or confirmation Keep each request in TenantCloud current with notes, photos, estimates, and invoices, and attach vendor invoices to the right request Keep Google Calendar accurate as appointments change Maintain and update tracking spreadsheets Hand off open items clearly to your teammate and the property manager at shift change What We're Looking For Required Fully bilingual (spoken and written) in English and Spanish Experience in maintenance coordination, property management, dispatch, or tenant-facing customer service Proficiency with Excel or Google Sheets (sorting, filtering, basic formulas, clean data entry) Comfortable on phone, text, and email, including outbound calls Strong follow-up habits and the ability to juggle multiple open items Good judgment and calm under pressure with upset tenants or urgent issues A team player who communicates clearly and documents well Reliable internet, a quiet workspace, and availability for the set schedule and on-call weekends Preferred Experience with TenantCloud or similar property management software Comfort with Google Calendar and Google Workspace Basic maintenance vocabulary (plumbing, HVAC, electrical, appliances) Tools You'll Use TenantCloud (primary), Google Calendar, Excel/Google Sheets, Jibble, phone and text What Success Looks Like 30 days: Handling routine calls and requests independently 60 days: Running requests start to finish with minimal check-ins 90 days: No request goes stale, handoffs are seamless, and tenants and vendors know they'll hear back
