Location: Latin America Hours Schedule: 9:00 AM–6:00 PM (40h) Time Zone: U.S. Eastern Time ABOUT THE CLIENT The client is a real estate capital advisory and brokerage firm focused on residential construction and land development financing. The founder & CEO spent more than 15 years in home building before transitioning into finance in 2018 as a direct lender and loan originator, personally funding over $1 billion in construction loans. He founded the company in 2025. The company is a fast-growing startup with an active sales pipeline exceeding $300 million and growing, and 100% of our clients are based in the United States. THE OPPORTUNITY This is not a standard Executive Assistant role. It is a privileged, high-trust position intended for a highly competent, self-driven individual who will become the CEO's right hand, someone who anticipates what needs to happen, takes ownership of it, and makes sure it gets done without being chased. You will manage the CEO's schedule, communications, and priorities; represent him on calls and in correspondence; and take a wide range of tasks off his plate so he can focus on growing the business. Beyond traditional EA duties, you will be trained to analyze construction and land development deals as a Business Analyst. Full training on the client's loan products and business practices will be provided, but the pace and initiative you bring to learning it will be up to you. Responsibilities will expand over time as trust and business knowledge grow. KEY RESPONSIBILITIES Executive Support & Communication Manage the CEO's calendar, meetings, and email, including drafting and responding to correspondence on his behalf Anticipate needs before they're voiced; keep the CEO organized, on schedule, and on task Attend meetings (with or on behalf of the CEO), take notes, and assign and track follow-up items to completion Confidently place and receive phone calls with clients, lenders, brokers, attorneys, and other industry contacts; phone communication is a daily, non-negotiable part of this role Identify and resolve routine conflicts or issues independently; escalate only what genuinely requires the CEO's attention Business & Real Estate Analysis Learn the client's loan products, underwriting approach, and business practices (full training provided) Analyze construction and land development projects submitted for funding; prepare professional, presentation-style reports covering strengths, weaknesses, opportunities, and threats, along with market comparisons Support the team on an as-needed basis with document processing, lender selection, marketing, and other activities Monitor loan closings and provide the CEO with regular status updates Compile and track budgets and expenditures Lead meetings internally and with clients Operations & Systems Own task tracking end-to-end: create, assign, follow up, and confirm completion without prompting Maintain organized records and documentation across the Microsoft 365 ecosystem (Word, Excel, PowerPoint, Outlook, Teams) Learn the DealMaker application – the client’s in-house CRM and Deal Management system Assist clients with portal access and use Assist with onboarding new employees and contractors, including light HR support such as drafting job descriptions and coordinating equipment Special Projects & Growth Take on expanding responsibilities as trust and business knowledge grow; this role is designed to grow with the right person Support marketing and social media efforts (Adobe and Microsoft tools) as the client scales in 2026 Coordinate travel arrangements, event planning, and occasional personal tasks for the CEO Cross-train with other client team members across regions and time zones (including the Philippines) WHAT WE'RE LOOKING FOR Required Bachelor's degree in Finance, Business, or a related field required; MBA strongly preferred Flawless written and verbal English; this is an absolute requirement 3-5+ years of prior experience working with or within U.S. companies, with genuine familiarity with U.S. business culture and norms Strong proficiency across the Microsoft 365 ecosystem (Word, Excel, PowerPoint, Outlook, Teams) Strong business and finance acumen Exceptional organization, discipline, and follow-through; able to keep an unorganized executive on track Self-driven problem solver who figures things out independently rather than waiting for direction Kind, easy to work with, and an exceptional communicator, while remaining highly organized and disciplined Comfortable and confident on the phone. Not hesitant to make or take calls Able to navigate and resolve conflicts diplomatically Comfortable with a flexible schedule aligned to U.S. Eastern time, including occasional evenings or hours outside the core workday Nice to Have Experience in construction finance underwriting, sales, construction, or lending support Experience working remotely as part of an international, cross-time-zone team COMPENSATION & BENEFITS Compensation: Full-time, independent contractor role, salary-based. Discretionary performance bonuses may be available. Paid Time Off: Begins accruing after 90 days of employment at a rate of 0.833 days per month, up to 10 business days (2 weeks) per year, plus an additional day off on your birthday. Paid Holidays: 10 paid U.S. holidays per year. Equipment: The client provides company-owned equipment (computer, monitors, keyboard/mouse, headset, webcam) at no cost. Equipment remains company property and must be returned upon departure. Company resources and systems are accessible only through company-provided equipment. SCHEDULE & AVAILABILITY This is a full-time role from day one, with a 90-day onboarding and probationary period. Core hours are aligned to U.S. Eastern Time, generally 9:00 AM to 6:00 PM, with flexibility to support other U.S. time zones as business needs require. Work outside standard hours, including evenings and occasional weekends, is an expected part of this role; when the CEO is working, the team should be accessible. Infrequent travel may be beneficial; therefore, the ability to obtain U.S. travel authorization is desirable but not required.
