About the Role We are seeking a detail-oriented and proactive Operations Specialist to support our client’s process of incorporating new Delaware entities. In this position, you will oversee essential operational tasks, including processing Delaware incorporations, retrieving EINs, ensuring proper execution of corporate operating documents, and issuing founder shares. You will play a crucial role in maintaining accuracy and efficiency, especially in tasks that rely on manual workflows before automation is fully implemented. This role requires strong organizational skills, keen attention to detail, and the ability to work independently to ensure daily operations run smoothly. As part of the operations team, you will maintain compliance, guide clients through the incorporation process, and help refine workflows. This entry-level position is ideal for someone aiming to gain hands-on experience in business formation, banking operations, and compliance. You will build expertise in incorporation workflows, IRS EIN processing, and banking application coordination while collaborating with experienced professionals. Your contributions will ensure seamless business formation for startups, enabling founders to incorporate swiftly and open bank accounts efficiently. By keeping these processes on track and ensuring compliance, you will help streamline operations and support the company’s continued growth. What We’re Looking For * Entry-level position: 1–2 years of experience in customer service, administrative support, or operations (no prior experience in incorporation or banking required). * Strong organizational skills to manage multiple workflows and meet deadlines. * Attention to detail to handle and verify critical documents, ensuring accuracy and compliance. * Proactive mindset to anticipate and address operational challenges before they become blockers. * Proficiency in PDF editors, e-signature platforms (e.g., DocuSign), and cloud-based productivity tools. * Proficiency in Google Workspace, including Drive, Sheets, and Docs. * Ability to follow structured workflows and escalate issues when necessary. * Excellent communication skills, comfortable with structured email communications and working with clients, banks, and government agencies. * Adaptability to navigate ambiguity, re-prioritize tasks, and escalate issues as needed. Bonus Skills * Experience in operations, compliance, or administrative support in legal, finance, or business services. * Customer-first mindset, with understanding of customer needs in operational settings. * Background in high-growth or startup environments requiring flexibility and adaptability. * Familiarity with incorporation processes, business formation, or banking applications (IRS EIN retrieval, Delaware filings). * Experience collaborating with external vendors, government agencies, or financial institutions. * Ability to handle high-volume tasks efficiently while maintaining accuracy. * Analytical and problem-solving capabilities to identify process gaps and propose improvements. * Comfortable working in a fast-paced, process-driven environment where workflows are evolving. What You’ll Do 1. Incorporation Operations & Compliance * Review and process incorporation applications, ensuring companies meet eligibility criteria. * Generate and manage incorporation documents, confirming accuracy before submission to government agencies and Delaware partners. * Track and organize documents, verifying filings and ensuring secure storage. * Upload and maintain incorporation records, including EIN letters and state filings. * Manage communications with structured email updates throughout the process. * Contact the IRS to retrieve EINs and resolve processing issues. * Apply sound judgment in routine operational decisions, escalating non-standard cases when needed. 2. Banking Application Support * Facilitate the bank account application process, handling client outreach and documentation. * Ensure clients meet banking criteria and understand requirements. * Verify and submit EIN documentation to banking partners. * Monitor application progress and follow up with clients and partners. * Escalate complex banking issues to senior team members. 3. Process Optimization & Document Management * Evaluate and refine operational workflows to improve efficiency and reduce manual tasks. * Maintain process documentation to reflect workflow changes and support automation. * Organize and maintain digital records securely in Google Drive. * Collaborate with teams to identify operational challenges and propose scalable solutions.
