What you’ll do (core responsibilities)
Backlinking support
* Maintain backlink trackers
* Confirm links go live
* Document URLs, anchor text, and target pages
* Monitor link quality basics, including relevance and indexing checks, and flag issues
Reporting + performance tracking
* Pull recurring metrics from tools such as Google Analytics, Google Search Console, GBP Insights, SEMrush, and Ahrefs
* Update monthly reporting dashboards and summaries
* Highlight wins, drops, and anomalies
Citation checking / local listings
* Audit citations for NAP consistency (name, address, phone)
* Log issues
* Confirm fixes
Deliverable checking
* Verify tasks are completed to spec, including on-page updates, content uploads, links, GBP posts, and tracking
* Maintain a done / needs revision checklist per client
GBP checks + posting
* Perform routine GBP audits, including hours, categories, services, photos, and reviews queue
* Draft and schedule GBP posts with guidance or templates
* Confirm posts publish correctly
CRM management + organization
* Keep CRM clean and organized, including stages, notes, tasks, and follow-ups
* Ensure client communications and internal notes are logged consistently
Deadline + project coordination
* Track due dates across clients
* Send reminders
* Escalate blockers early
* Maintain task boards in ClickUp, Trello, Sheets, or whatever tool is used, so the team always knows what’s next
Communication + inbox overview
* Provide daily email overviews covering what needs attention and what is urgent
* Send reminders and follow-ups internally
* Keep threads organized
* Communicate client issues that are addressed in Slack channels if the team does not respond
Tools you’ll use (or learn quickly)
* Google Workspace (Docs, Sheets)
* Google Analytics, Google Search Console, Google Tag Manager
* GBP / Google Business Profile Manager
* SEO tools such as SEMrush and or Ahrefs
* Agency Analytics for reporting
* Project tracking tools such as ClickUp or similar
* CRM tools
* WordPress, where basic content edits are a plus but not required
What success looks like (first 30–60 days)
* Client trackers are up to date, with nothing missing or unclear
* Deadlines are consistently hit and blockers are flagged early
* Reports go out on time with clean, accurate data
* Deliverables are QA’d before they reach the client
* The team spends less time checking and more time executing
Requirements
* 2+ years of experience as a VA, marketing assistant, or operations coordinator, with agency experience as a plus
* Strong attention to detail and natural double-checking of work
* Comfortable working with software and trackers
* Strong confidence and know how with AI
* Clear written and verbal communication in English
* Reliable internet and ability to work independently
Nice to have
* Familiarity with local SEO concepts such as citations, GBP, and backlinks
* Experience with SEMrush or Ahrefs, GA, or GSC
* Basic website experience
