To expand our commercial team in the USA, we are currently looking for a Sales Administrator that enjoys supporting sales, logistics, and shipping (this is an administrative role and does not include selling). This is remote job (work from home), Monday through Friday, 6:00 AM to 3:00 PM Las Vegas (PST time).

Responsibilities & Duties:
1. Shipment & Documentation Management
• Review and revise required shipping documentation (e.g., bills of lading, pick tickets, manifests, invoices, weight tickets).
• Ensure all shipping documents are accurate, complete, and stored in the designated folder on time.
• Verify all shipment releases are in the proper format, with correct information, item quantity, category, and accurate customer details.
2. Logistics Coordination & Communication
• Coordinate closely with freight forwarders, truckers, and carriers to schedule pickups and manage transportation.
• Track and monitor shipments in transit from suppliers
• Follow up with Mexican packers, logistics representatives, and customs officials to obtain timely updates on loads in transit across the border.
• Provide the Warehouse team and the Quality control team with timely updates on the status of loads scheduled to cross or arrive that day
• Verify shipment status and ensure timely delivery, while proactively communicating updates to relevant teams.
3. Administrative & Bookkeeping Support:
• Perform light bookkeeping tasks related to invoices, credit notes, and purchase orders.
• Maintain organized records for all shipping and logistics activities
• Report to multiple departments and respond promptly to requests or inquiries from various teams
• Accurate data entry into the system, ensuring all information is correct and up to date
Requirements:
• Must be extremely detail-oriented (critical for success in this role).
• Bilingual in English and Spanish (required).
• Proven ability to manage tasks independently and meet deadlines with minimal supervision.
• Ability to perform and remain composed in a fast-paced, high-pressure environment.
• Strong problem-solving and communication skills, especially in the reporting and addressing process-related issues.
• Minimum of 3 years of experience in administrative support, logistics, and/or shipping.
• Team-oriented mindset with the ability to collaborate effectively across departments (essential).
• Previous remote work experience preferred or demonstrated ability to work independently in a distributed team environment.
• Experience with NetSuite is highly preferred (but not mandatory).
• Proficiency in Microsoft Office Suite, particularly in Outlook and Excel.
• A college degree is encouraged.
