Invoicing & Revenue TrackingGenerate daily invoices for completed trips using Coach Manager, ensuring accuracy and completenessVerify that actual trip hours (via GPS tracking) are within the scheduled limits before posting invoices to QuickBooks (QB)Post and reconcile all trip-related invoices into QuickBooks on a timely basis2. Accounts Receivable ManagementMonitor customer account balances and follow up on overdue invoices through daily liaison with clientsProactively manage receivables to maintain a healthy cash flow cycleCollaborate with the operations or customer service teams for resolution of any invoicing disputes3. Accounts Payable ManagementTrack and process vendor invoices in a timely manner, ensuring no payments become overdueMaintain proper records and reconcile payable balances regularlyEnsure proper approvals are obtained before initiating vendor payments4. Banking & ReconciliationsPerform daily bank reconciliations for all business accountsReconcile receipts between Coach Manager and QuickBooksAddress discrepancies and maintain clean ledger balances5. Expense & Credit Card ManagementMonitor and audit corporate credit card transactions, ensuring timely itemizations and proper coding in QuickBooksMaintain and update amortization schedules for interest-bearing loans or leasesEnsure compliance with internal controls and spending policies6. Month-End & Financial ReportingAssist in month-end closing activities, including journal entries, reconciliations, and schedule preparationsEnsure accurate financial statements with zero ambiguities by month-endCoordinate with the Finance Manager to prepare and review P&L, balance sheet, and cash flow reportsAnalyze financial data for variances and help identify opportunities for process improvement or cost optimization7. Cross-Functional CollaborationLiaise with multiple departments including Operations, HR, and Admin on finance-related tasksAddress and resolve daily queries received through the Accounting inbox and Slack channel8. Compliance & DocumentationMaintain proper documentation for all financial transactions in alignment with company policies and audit standardAssist with external audits, providing requested information and reconciliations as requiredEnsure compliance with relevant tax, legal, and regulatory standards (as guided by senior finance personnel)Additional Value-Add ResponsibilitiesPropose process improvements or automation ideas to enhance the efficiency of daily finance operationsMaintain an organized, up-to-date filing system for financial documents and recordsAssist in budgeting or forecasting exercises as required by the finance leadershipSkills Requirements1.
