Joint NDA required due to access to licensed software and sensitive client data.About the RoleWe are seeking an exceptionally sharp, high-ownership Senior Executive Assistant to take full operational control of our daily order lifecycle and executive administrative functions. This is a critical backbone role within a fast-moving appraisal and real estate environment.In this position, you will own the full end-to-end workflow—from quote and log to inspection, invoicing, collection, and final delivery—so executive leadership can step completely back from daily administrative management. You will also manage executive travel, handle client communications across lenders and legal teams, and fully absorb key office functions. If you are a high-level CoWorqer with real estate/appraisal experience, a solution-first mindset, and the ability to operate with zero hand-holding, this seat is built for you.What You'll Be Accountable For (The Outcomes You Own)End-to-End Order Lifecycle Ownership: Ensure zero dropped tasks or missed steps across the entire pipeline (quote, logging, inspection scheduling, coordination, invoicing, collections, and delivery) without needing daily executive oversight.Executive Administrative Freedom: Manage flights, hotel reservations, and personal/professional arrangements, driving executive admin-touch time down to near zero.Complete Operational Transition: Seamlessly absorb and manage all legacy office and administrative functions in full.What You'll Be Doing (Daily Responsibilities)Communication & Inquiries: Own inbox and phone triage in tandem with integrated AI agent tools. Handle client communications smoothly with lenders, attorneys, escrow officers, and court contacts.Inspection Scheduling & Order Logging: Coordinate and schedule all property inspections while maintaining a pristine, up-to-date order log.Billing & Collections: Issue invoices directly via QuickBooks and proactively follow up on outstanding payments through to collection.Executive Calendar & Travel: Oversee leadership's calendar, flight bookings, and trip logistics.SOP Maintenance: Keep standard operating procedures updated and maintained across all active business workflows.What We're Looking For (Non-Negotiables)3–5+ Years Industry Experience: Proven track record in appraisal, real estate, or a directly comparable industry. No interns or entry-level candidates.Adaptable Emotional Intelligence: Outstanding communication range—equally comfortable displaying empathy and patience with an elderly homeowner as you are giving crisp, fast, and precise answers to a demanding attorney.Solution-Oriented Operator: Proactive and self-directed.
