About Eyeride:
Eyeride builds advanced fleet safety, live video telematics, AI analytics, and connected vehicle solutions used by transit agencies, school transportation providers, emergency fleets, and commercial operators worldwide. We’re a fast-moving, customer-obsessed team that values reliability, accountability, and getting things done.
The Opportunity:
We’re looking for an ultra-organized, proactive Administrative Assistant to keep our distributed team running smoothly. You’ll support executives and functional leads across operations, sales, customer success, and logistics. If you thrive in a tech-forward, globally distributed environment—and love turning chaos into order—this role is for you.
Key Responsibilities:
- Manage calendars, meeting coordination, and scheduling across multiple time zones.
- Prepare and distribute meeting agendas, notes, and action follow-ups.
- Coordinate travel, accommodation, and event logistics (virtual & in-person).
- Track purchase orders, vendor communications, shipping updates, and basic inventory records.
- Assist with document organization: contracts, onboarding packets, SOPs, and compliance docs.
- Process expense reports and reconcile receipts vs. budgets.
- Maintain clean data in CRM and internal collaboration tools (HubSpot / Salesforce / Monday.com / similar—tooling may vary).
- Support hiring coordination (interview scheduling, candidate communications, document collection).
- Provide light customer-facing coordination backup when ops volume spikes (ticket triage, status checks, follow-up emails).
- Generate recurring status dashboards or simple spreadsheets for leadership.
What You’ll Need to Succeed:
Must-Haves:
- Strong written & spoken English; confident drafting professional email communication.
- 2+ years in an administrative, operations, coordinator, or executive assistant role.
- High attention to detail; proven track record of follow-through.
- Comfortable with Google Workspace, Microsoft 365, and online meeting tools (Zoom/Meet/Teams).
- Spreadsheet competence (sorting, filtering, formulas, lookups a plus).
- Reliable high-speed internet and a quiet workspace.
- Ability to overlap with U.S. Eastern Time at least 4 core hours per day.
Nice-to-Haves:
- Bilingual: Spanish and/or Portuguese.
- Experience with SaaS, fleet/transportation tech, or hardware logistics.
- Familiarity with basic bookkeeping/expense tools (QuickBooks, Expensify, or similar).
- Light project management platform experience (Asana, Monday.com, ClickUp, etc.).
What We Offer:
- Remote-first role with teammates across the Americas & beyond.
- Growth path: expand into Operations, Customer Success, or Project Coordination.
- Supportive, fast-paced environment where initiative is noticed.
- Paid time off & local holidays (details vary by contract type/location).
- Compensation: Competitive base salary with performance bonuses and monthly incentives.
