This is not an assistant role, this is a high-impact operator position responsible for building structure, driving accountability, and turning data into actionable insights.The ideal candidate will take full ownership of CRM systems, marketing performance tracking, and operational workflows, while working closely with leadership to support growth and scalability.Why This Role ExistsThis role is designed to transform the business into a data-driven, systemized operation. You will be responsible for ensuring that marketing efforts are measurable, operations are efficient, and teams are aligned around performance.If you are someone who thrives on building systems, optimizing processes, and creating clarity from data, this role is for you.Core ResponsibilitiesCRM & Data Ownership (Salesforce)Own and maintain CRM data integrity, structure, and accuracyStandardize pipeline stages, lead tracking, and attribution logicManage large datasets (10,000–50,000+ records), including cleaning and auditingImprove CRM workflows and automation to reduce manual workManage segmentation, imports/exports, and campaign data preparationMarketing Performance & ReportingBuild and maintain dashboards tracking: Leads, Conversions, CPL (Cost Per Lead), CPA (Cost Per Acquisition), ROI by channel and conversion cycle timeDeliver weekly performance reports with insights and recommendationsOwn marketing attribution across all channelsProactively identify underperforming campaigns and optimize performanceMarketing OperationsCoordinate outbound campaigns (cold calling, SMS, RVM, direct mail, referrals)Manage lead lists, segmentation, and CRM data flowsTrack campaign performance and continuously improve processesSupport LinkedIn and email outreach initiativesOperational Leadership & Team AccountabilityManage and oversee a remote team (VAs, cold callers, lead managers)Run weekly KPI meetings and track performance metricsIdentify operational bottlenecks and implement solutionsAct as the main operational point of contact for leadershipSupport performance reviews and proactively address underperformanceSystems & SOP DevelopmentBuild and maintain SOPs for all repeatable processesOwn and manage ClickUp (or similar tools) for task and workflow managementImplement automation (Zapier, ClickUp, etc.) to improve efficiencyEnsure scalable onboarding processes for new hiresRequired Qualifications4+ years of direct experience in Operations or Marketing Operations management roles (not adjacent/support functions)Near-native English proficiency (C2 or strong C1, written and spoken, client-facing level)Proven hands-on experience with Salesforce (CRM management, reporting, pipelines, and data integrity)Strong command of marketing performance metrics and KPI frameworks (CPL, CPA, ROI, conversion rates, attribution models)Demonstrated experience owning team accountability frameworks (KPIs, scorecards, performance tracking, weekly reporting cadences)Experience managing and holding accountable remote teams (VAs, SDRs, marketing ops, or similar)Advanced Excel / data analysis skills (Power Query or equivalent strongly preferred)Experience handling and structuring large datasets (10K–50K+ records)Proven ability to build dashboards and translate data into actionable insightsStrong organizational, analytical, and problem-solving skillsHigh ownership mindset with the ability to operate independently in unstructured environmentsPreferred QualificationsExperience with Salesforce automation (Flows, Process Builder)Experience with Zapier, ClickUp, or similar workflow toolsFamiliarity with Power BI, Tableau, or other data visualization platformsExperience in U.S. real estate, wholesaling, or lead generation environmentsExperience with tools such as SmrtPhone, JustCall, ReadyMode, Mailchimp, or InstantlyKey TraitsSystems thinker: creates structure from chaosData-driven: makes decisions based on metricsProactive: brings solutions, not just problemsStrong communicator: clear, direct, and professionalOwnership mindset: treats the business like their ownWhat This Role Is NOTNot an assistant, VA, or admin roleNot a task-execution role — you will define and manage processesNot focused on calendar management or basic coordinationNot suitable for candidates with only customer support or social media experienceCompensation & BenefitsBase Salary: $1,500 – $2,100 USD/monthPerformance-based bonuses tied to operational and team outcomesAnnual salary review (cost-of-living adjustments)Internet/home office stipendPaid time off + U.S. holidays (after 6 months)Long-term growth opportunity with direct exposure to leadershipThis is a remote/telecommute position.
