Crucially, you must speak the language of construction—comfortably stepping into the technical pipeline to support our in-office teams with architectural drafting updates, material takeoffs, RFIs, submittals, and procurement tracking. Key Responsibilities:
- Executive Gatekeeping & Support: Take total creative ownership of complex executive calendars, filter inbound email inboxes, organize priorities, and assertively hold leadership accountable to daily commitments.
- Technical Drafting & Modeling: Support the design pipeline by assisting with architectural drafting updates, minor design changes, and Building Information Modeling (BIM) data coordination.
- Quantity Takeoffs & Estimations: Independently read technical blueprints to perform material takeoffs, calculate quantities, and assist with project budgeting and cost estimations.
- Project Documentation Control: Streamline the construction pipeline by drafting, formatting, and tracking Requests for Information (RFIs) and managing technical submittals to prevent site delays.
- Procurement & Logistics Coordination: Assist with material sourcing, interface with vendors to compile quotes, and organize shipping/import logistics for international construction materials.
- Billing Prep & Administrative Tracking: Manage backend project compliance documents, organize contract logs, prepare billing paperwork, and systematically draft standard operating procedures (SOPs).
Must-Have Requirements:
- Experience: 5+ years of verified professional experience working as an Executive Assistant, Technical Assistant, or Project Coordinator directly supporting corporate leaders or founders.
- Industry Background: A concrete, demonstrable background working inside the Construction, Architecture, Civil Engineering, or Real Estate Development industries.
- Technical Capabilities: Proven ability to read blueprints, understand quantity takeoffs, and assist with standard architectural drafting changes or design layouts.
- Language: Impeccable, professional-level bilingual verbal and written communication skills in both English and Spanish.
- Personality & Drive: A highly proactive, resourceful, and thick-skinned persona. You must be comfortable "managing up" to keep fast-paced control-freak executives organized.
Nice-to-Have Requirements:
- A university degree or formal technical certifications in Architecture, Civil Engineering, or Construction Management.
- Practical familiarity with professional industry software suites (such as AutoCAD, Revit, PlanSwift, Procore, or Buildertrend).
