We are seeking a highly organized, sharp, and proactive Service & Operations Coordinator to join us as a core piece of our administrative backbone.
The Role:
You aren't just an administrator; you are the traffic controller for our entire operation. In this role, you will manage the intersection of customer requests, material procurement, and field technician schedules. You will be the primary point of contact for our valued residential clients and professional builders, ensuring their projects move seamlessly from initial call to final installation.
What You’ll Do:
Intake & Feasibility Screening: Answer incoming calls and emails from retail clients and home builders. Ask the right qualifying questions to determine project scope, feasibility, and readiness.
Precision Scheduling: Manage calendars for our field teams. Optimize routing for design/measuring appointments and coordinate multi-hour installation schedules to maximize team efficiency.
Procurement & Order Tracking: Actively monitor and track purchase orders with our glass fabricators. Follow up on lead times to ensure materials arrive before our crews are scheduled to install.
Proactive Customer Success: Keep clients updated on their project status. Over-communicate material delays or ETA updates via phone and SMS so customers never have to call us first.
CRM Data Hygiene: Maintain meticulous records of project timelines, notes, and technical details within our company software.
Who You Are (Requirements)
Flawless English: Exceptional written and spoken English is non-negotiable. You must be comfortable speaking with high-end retail consumers and demanding construction project managers.
Logistical Thinker: You love puzzle-solving. You naturally think about geographic routing and timing when scheduling appointments.Process-Driven & Detail-Oriented: If a detail is missing, you notice it. You thrive on structure, checklists, and following step-by-step scripts/decision trees.
Tech Savvy: Experienced with VoIP phone systems (e.g., OpenPhone, RingCentral), project management tracking (e.g., Excel/Sheets, ClickUp), and modern Field Service Management software (e.g., Jobber, Housecall Pro, Buildertrend).
Experience: 2+ years of experience in customer service, logistics, dispatch, or operations. Direct experience in construction, HVAC, plumbing, or building materials is a massive plus.
