U.S. Startup talent firm is seeking a full-time Finance & Operations SpecialistABOUT THE ROLEAnavah Talent is a fast-growing U.S.-based staffing and recruiting firm that helps companies build exceptional remote teams across the Philippines, Latin America, and South Africa. We're looking for our first dedicated Finance & Operations Specialist to become the operational backbone of the business.This role owns payroll operations, contractor administration, client invoicing, HR coordination, operational reporting, and internal systems. Beyond execution, you'll help build the operational infrastructure that allows the company to scale efficiently through better documentation, automation, and process improvement.You'll support approximately 30–50 active contractors while partnering closely with leadership, recruiters, clients, and contractors to ensure operations remain accurate, organized, and scalable.ABOUT YOUDo you enjoy bringing order to fast-moving environments? You take pride in accuracy, meet recurring deadlines without constant oversight, and constantly look for opportunities to reduce manual work through better processes and automation.If you're excited about helping build the operational foundation of a growing U.S. startup, we'd love to meet you.RESPONSIBILITIES:Payroll & Finance OperationsOwn the end-to-end payroll process and financial administration, ensuring contractors are paid accurately and on time.Execute two payroll cycles each month using WiseReview contractor timesheets, invoices, reimbursements, bonuses, deductions, and payroll adjustmentsPrepare payroll approval summaries for leadershipMaintain payroll reports and Contractor MasterfileProcess contractor rate increases and compensation changesSupport month-end financial reconciliation and reportingManage Stripe subscriptions and recurring billingAssist with financial recordkeeping and reportingClient Billing & Business OperationsEnsure internal operations remain organized, accurate, and scalable while supporting day-to-day business administration.Prepare and reconcile client invoicesInvestigate and resolve billing discrepanciesMaintain Monday.com boards, operational trackers, and shared documentationMaintain organized HR, finance, and operational recordsCoordinate recurring operational meetings and administrative requestsSupport leadership with operational projects and cross-functional initiativesContractor Operations & People AdministrationManage the complete contractor lifecycle while providing an exceptional contractor experience.Coordinate contractor onboarding and offboardingManage Independent Contractor Agreements, tax forms, background checks, and compliance documentationTrack PTO, contractor records, and employment changesConduct scheduled contractor check-ins (7, 30, 60, 90-day, and annual)Serve as the primary point of contact for payroll and operational questionsCoordinate contractor engagement initiatives, anniversaries, and recognitionSystems, Process Improvement & AutomationContinuously improve how the business operates by building scalable systems and reducing manual work.Develop and maintain Standard Operating Procedures (SOPs)Improve operational workflows and documentationIdentify repetitive tasks suitable for automationImplement automation using tools such as AI, Zapier, Make, or similar platformsBuild dashboards and operational reportingRecommend and implement process improvements that increase efficiency and support company growthRequirements3+ years of experience in Operations, Payroll, Finance, HR Operations, Bookkeeping, or Business AdministrationExperience supporting a U.S.-based company, startup, or distributed remote teamExperience processing payroll, contractor payments, client billing, or financial reconciliationsStrong spreadsheet skills with exceptional attention to detailExperience using platforms such as Wise, Stripe, QuickBooks, Monday.com, or similar business systemsExcellent written English and professional communication skillsProven ability to independently manage recurring deadlines in a fast-paced environmentStrong process improvement mindset with experience documenting workflows or building operational systemsBachelor's degree in Business Administration, Accounting, Finance, Human Resources, or a related fieldPreferred Requirements:Experience supporting contractor-based or remote-first organizationsExperience building SOPs and operational documentationExperience with automation tools (Zapier, Make, Google Apps Script, AI workflows)Experience creating dashboards or KPI reportingKnowledge of payroll compliance and client billing processesBenefitsAt Anavah Talent, we’re all about helping you find your God-given space at a U.S. Company.
