We believe our people make all the difference in cultivating an inclusive culture that embraces our cultural beliefs.Job DescriptionWHAT DOES THE RECONCILIATION MANAGER DO?The Reconciliation Manager processes key financial data across multiple meetings, including honoraria payments and expense reimbursements, and assists with reconciliation and compliance closeout activities for virtual and live events. The Reconciliation Manager must be very organized, detail-oriented, resourceful, and highly motivated and able to succeed in a dynamic, changing environment.ESSENTIAL DUTIES AND RESPONSIBILITIES:Manage all aspects of consulting agreements between pharmaceutical companies and HCPsCollect W-9 tax forms if they are not in our databaseTrack and process honoraria and expense reimbursement paymentsCommunicate with speakers/attendees regarding honoraria and/or expense reimbursementsCreate and update budgets as neededReconcile program budgets and enter final program spend into meeting management systemInteract with internal and external customers and vendors and help expedite work activities to support programmingManage assigned aspects of financial reporting including:Creating and updating budget and reporting templatesOrganizing and retrieving backup documentation for program reconciliations/auditsHandling ad hoc requests from internal team membersCreating reports and producing moderately complex spreadsheets with calculationsProcess and code vendor invoices through APManage AmEx processingHandle compliance closeout duties, ensuring client guidelines and business rules are followedCreate open payments/transparency reports and other required compliance reportsEnsure all out-of-pocket costs are within complianceEnsure all proper documentation is complete, accurate, and submitted to clients on time and in the appropriate formatsFamiliarize and adapt to each client's compliance process and business rulesCommunicate clearly and effectively with Meeting Services, Account Services, and Finance team membersBe proactive, be prepared, take ownership, and QC all workMeet all established deadlinesPrioritize work and ask for direction when uncertain or in need of extra supportUnderstand how to separate and combine tasks into efficient workflowMonitor calendar for scheduled activities and come prepared to internal meetingsSupport additional ad hoc meeting-related tasks as needed and approved by managerSubmit timesheets on timeDemonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias.All other duties as assignedQualificationsWHAT ARE WE LOOKING FOR?Education: Associate’s degree or equivalent work experienceExperience and/or Training: 4 years of Account Payable and Credit Card ReconciliationLicenses/Certificates: N/ATechnology/Equipment: Microsoft Office with especially strong MS Excel ability, Zoom, TeamsIndustry Experience: Agency or Pharmaceutical Industry experienceAdditional InformationOUR CULTURAL BELIEFS:Patient Minded I act with the patient’s best interest in mind.Client Delight I own every client experience and its impact on results.Take Action I am empowered and empower others to act now.Grow Talent I own my development and invest in the development of others.Win Together I passionately connect with anyone, anywhere, anytime to achieve results.Communication Matters I speak up to create transparent, thoughtful and timely dialogue.Embrace Diversity I create an environment of awareness and respect.Always Innovate I am bold and creative in everything I do.Our team is aware of recent fraudulent job offers in the market, misrepresenting EVERSANA.
