Requirements and responsibilities


We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our executive team. This role requires a proactive professional with experience in human resources, accounting, QuickBooks, and project management. The ideal candidate will have strong multitasking abilities, excellent communication skills, and the ability to work in a fast-paced environment. Key Responsibilities: Executive support: • Provide high-level administrative support to executives, including scheduling meetings, managing calendars, and coordinating travel arrangements. • Prepare reports, presentations, and correspondence on behalf of the executive team. • Handle confidential information with discretion and professionalism. • Act as a liaison between executives and internal/external stakeholders. Human resources support: • Assist with recruitment, onboarding, and employee record management. • Support HR policies, benefits administration, and employee relations. • Maintain compliance with labor laws and company policies. • Help organize training sessions and HR-related events. Accounting & QuickBooks management: • Handle accounts payable/receivable, invoicing, and expense tracking using QuickBooks. • Reconcile bank statements and assist with financial reporting. • Support payroll processing and coordinate with finance teams on budget-related tasks. • Maintain accurate financial records and documentation. Project management & operations: • Assist in planning and executing projects, ensuring deadlines and objectives are met. • Track project progress and communicate updates to stakeholders. • Coordinate with various departments to ensure smooth workflow. • Maintain organization of project files, contracts, and reports. Required qualifications: • 3+ years of experience as an executive assistant, HR administrator, or similar role. • Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and project management tools. • Knowledge of HR practices, payroll, and accounting principles. WORKING HOURS: 9 AM–6 PM CST.
