About Carbon: - Carbon Real Estate Investments is a vertically integrated multifamily platform approaching 3,000 units across 6 Sunbelt states, held either wholly owned or through co-GP partnerships. - We focus on Class B/C workforce housing in secondary markets. - We own the buildings or have skin in them as GP, and we run property management, construction, and asset management in-house. - Carbon also operates a technology services division and a proprietary technology platform, Carbon OS, that improves property-level financial performance. - We are an AI-first organization. - Leveraging AI and automation at every level of our operations is not optional. - It is how we deliver better outcomes for our residents, our investors, and our team. - Our goal is to house 20,000 families in Carbon communities over the next ten years. - We operate on EOS, run weekly Level 10 meetings, and use a hybrid US/offshore team structure. Core Values: - Growth Mindset: Practice Kaizen. Never settle, figure it out. Get 1% better every day. - High Integrity: Do what you say. Own your wins and losses. - Discipline: Be purposeful, thoughtful, and diligent in everything you take on. - Build to Last: Take the long view. Every decision optimizes for 10–15 year outcomes. - Connection: Build genuine relationships that earn trust and respect. - All In, All Out: Work hard, play hard. Bring full energy and commitment, and enjoy the ride. Role Overview: - This is the operational and financial backbone underneath how Carbon's portfolio runs day to day. - Carbon's Operations Department is the layer that catches problems before they become expensive. - Every one of Carbon's nearly 3,000 units generates exceptions daily, and this seat is where they land first. - You will inherit real volume from day one. - This role sits alongside and backs up the Operations Coordinator. - You are the person who steps in with no gap in coverage when the Coordinator is out, in a peak period, or moving to something else. - You must build checklists, templates, saved responses, and standard workflows. - You must use AI to carry the repetitive half of the job so your judgment is reserved for the exceptions that actually need it. - This is an execution-and-analysis seat, not a strategy seat. - Your job is to run existing processes precisely, spot what is about to break, fix the process behind a recurring problem, and use technology to make one person's output look like two. Success Metrics - First 30 Days: - Fully onboarded across Carbon's core operational systems and navigating them independently. - Owns the review of daily and weekly operational and financial reports, flagging exceptions and risks without being prompted. - Has mapped the AP/AR workflow and vendor communication channels end to end, including every hand-off point and who owns what. - Inbox and request queue are triaged same-day, with a clear, documented sense of what gets resolved independently versus escalated. - Has begun shadowing the Operations Coordinator on backup-critical tasks and can describe, in specifics, what full coverage requires. Success Metrics - First 90 Days: - Independently manages the full recurring operational cadence with minimal supervision. - Has identified, automated, or scoped for automation at least two to three repetitive tasks using AI tools, with a documented before-and-after on time saved. - Has covered at least one Operations Coordinator absence or peak-volume stretch end to end with zero continuity gap. - Has built or materially improved documentation for the top recurring workflows. - Vendor, internal, and external stakeholder issues are being resolved start to finish, with a clear, documented escalation path for what needs manager attention. Success Metrics - First Year: - Owns operational exception-handling end to end, and it runs without heroics or last-minute scrambles. - Has a track record of shipped automations with measurable time savings, reported on a regular cadence. - Is a fully cross-trained Operations Coordinator backup, with zero continuity gaps across any coverage period to date. - Is recognized across the team as the person who finds and fixes the process problem behind the recurring request. Daily Operational Execution: - Perform recurring operational processes accurately and on schedule, every cycle, without prompting. - Review daily and weekly operational and financial reports to identify exceptions, risks, or anomalies before they compound. - Ensure timely completion of assigned tasks with minimal supervision. - Escalate critical issues promptly and resolve routine problems independently. Financial Reporting & Data Analysis: - Generate and download weekly and monthly financial and operational reports from core systems. - Compile raw data into standardized templates to track property performance, expense trends, and KPIs across the portfolio. - Support budget tracking and variance analysis across a diversified property portfolio, flagging what is moving and why. - Transform raw datasets into clean, professional internal reports and slide decks for management review. Accounts Payable / Receivable & Vendor Management: - Monitor accounts payable and accounts receivable workflows for stalls, errors, or aging exceptions, including invoice processing and delinquency tracking. - Perform routine audits of system entries to confirm alignment with established Standard Operating Procedures. - Liaise with property managers and third-party vendors to investigate and resolve data or billing discrepancies. - Manage vendor communications and relationships professionally and on schedule. - Coordinate with internal teams, vendors, and external stakeholders to resolve issues from start to finish. - Research operational and financial questions and provide accurate, well-sourced answers. Email, Requests & Issue Resolution: - Manage high-volume email communications, prioritizing requests by urgency and business impact. - Own inbox discipline: nothing sits unanswered past a defined response window. - Resolve issues start to finish across internal teams, vendors, and external stakeholders. Process Improvement & Automation: - Identify repetitive, manual tasks and recommend or implement automation solutions using AI tools. - Document processes so they are repeatable, auditable, and transferable to the next person on the team. - Bring a documented before-and-after on any automation shipped. - Flag where automation makes the output worse. Operations Coordinator Backup & Continuity: - Cross-train on the Operations Coordinator's full scope on an ongoing basis. - Step in seamlessly during PTO, peak volume, or transitions, with zero continuity gap in coverage. - Flag coverage risk early. Systems Management & Integrity: - Build working fluency in Yardi or equivalent property management software, plus supporting platforms such as Coda and AvidXchange. - Monitor data flow and synchronization across systems.
