Active Minds is seeking an experienced, motivated and strategic Vice President of Finance and Administration to join its team. Reporting to the Chief Operating Officer, the VP of Finance and Administration will be a key member of the leadership team charged with oversight and execution of all financial processes and procedures, technology, and business operations at Active Minds. The VP of Finance and Administration is tasked with expanding thought leadership, cultivating and maintaining relationships, providing team leadership/management, and working cross-functionally with the Operations Team and all Active Minds departments. This role is responsible for driving innovation, strategic thinking, and execution of all Finance, Technology, and Business Operations priorities, ensuring that all members of the Active Minds team have the tools and resources they need to productively accomplish their roles.This is an outstanding opportunity for a finance, tech, and operations executive with strong leadership experience and creative problem-solving skills in a high-growth, mission-driven organization. Together, we are building a diverse movement of champions committed to improving mental health for all.KEY RESULTSFinancial Management (50%)Lead all accounting and financial reporting for the organization, including overseeing the development of the organization’s annual budget and monitoring performance against individual grant and program budgets throughout the fiscal yearOversee annual audit process, including managing relationship with external auditor, and preparation and maintenance of reports needed for annual auditReport regularly to the Executive Director, Chief Operating Officer, and Board Treasurer on financial performance; provide regular insight on financial results and best practicesCoordinate with division leads to ensure department finances are being tracked effectively and financial resources are being strategically allocated to meet organizational goalsFacilitate and help manage the accounting monthly close and reporting in a timely mannerLead the Finance Department, providing supervision and strategic direction to the Senior Associate of Accounting and contract BookkeeperProvide proactive, creative, cross-functional thinking and ideas to enhance organizational financial oversightSupport the organization’s process for acceptance of complex gifts and assetsAssist the Executive Director and Treasurer of the Board as needed, supporting execution of the organization’s investment strategy including overseeing updates to the investment policy statement, relationship with investment managers, and evaluation of investment activityServe as primary staff liaison to the Board Finance Committee; effectively communicate and present critical financial matters at select Board of Directors and committee meetingsRepresent the organization externally, as necessary, particularly in banking and lease negotiationsEnsure staff accountability to financial procedure via the completion of the Credit Card agreement formAdministration (Technology and Operations) (30%)Oversee the Director of Technology, and guide technology staff in ensuring that the platforms, software, and services in use continue to meet the evolving needs of the staffLead strategic development of policies and processes to address IT needs and assure efficient, secure, and productive IT systems and support, including fostering a customer-service-oriented approach among IT and operations staff and vendorsPartner with the Director of Technology to ensure org-wide initiatives are prioritized effectively on the IT roadmap, and reprioritization happens as new needs surfaceEnsure the Technology team’s strategic goals remain on track and are well communicated across the org at all times; regularly monitor progress and communicate updates &/or challenges to the COOProvide strategic oversight to the Director of Operations and operations staff to ensure that business operations, including maintenance of the physical office (e.g., office security, supplies procurement etc.), relationships with partners/vendors and landlords, drafting of Operations policies & procedures, internal operations audits, equity in operations at Active Minds, and all operational and administrative systems work effectively and smoothly to support the rest of the organizationManage team priorities and workflows to ensure operational functions are delivered efficiently and aligned with organizational goalsEnsure the Operations team’s strategic goals and priorities remain on track and are well communicated across the organization at all times; The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 7 salary band, and as such, has the potential to grow to $195,300 over time.
