About the roleThe Personal Assistant to General Manager will be responsible for enhancing the executive's effectiveness by providing information and support to the General Manager.Minimum experience 4-5 years working in a fast-paced executive administrative and operational environment.Fluent in English (Speaking, Writing, and Reading).Main Duties and ResponsibilitiesLiaise between General Manager and various departments to facilitate smooth daily operationsEnsure all operations are carried on in an appropriate, cost-effective wayImprove operational management systems, processes and best practicesPerform quality controls and monitor production KPIsConserve General Manager's time by reading, researching, and routing correspondence; drafting documents, reports, presentations and correspondence for review and/or signature from dictation, handwritten notes, and conversationResearch, prioritize, and follow up on incoming issues and concerns addressed to General Manager, including those of a sensitive or confidential nature; determine appropriate course of action, referral, or responseAble to work independently on projects, from conception to completion; able to work under pressure at times to handle a wide variety of activities and confidential mattersMaintain an updated and accurate calendar as well as schedule appointments and office meetings as requestedMaintain company confidence and protect operations by keeping information confidentialWork closely and effectively with the director keeping him well informed of upcoming commitments, responsibilities and deadlines, following up appropriatelyMaintain an extensive filing system for correspondence, business matters, personal matters, and other related dataFacilitate management meetings by planning agendas, developing and distributing presentations and reports, and capturing meeting minutes and follow-up action plansPerform other related duties as assignedReporting toTo the General ManagerExperience RequiredOperational ManagementMinimum experience: 4-5 years working in a fast-paced executive administrative environmentMinimum educational level required: Bachelor's DegreeMinimum career level required: Experienced (Manager)Languages required: Fluent in English (Speaking, Writing and Reading)Other RequirementsBachelor's or master's degree in business administration or equivalentExcellent communication skills, good judgment ability and multi-tasking skillsWork independently, act with appropriate urgency, initiativeAbility to accommodate working styles and perspectives of diverse individualsMaintain utmost confidentiality with sensitive and personal information; ability to prioritize own work and resources to complete projects on time and solve routine problems effectively
