Responsibilities of the Executive Assistant:
Your responsibilities include:
🗂 Task & Project Management (Notion)
Maintain and update existing Notion dashboards and project trackers
Capture action items from meetings and appointments
Set timelines and deadlines for founder-specific tasks
Follow up with 7–8 team members to ensure task completion
Send reminders and keep projects moving forward
📅 Calendar Management
Manage daily appointments, meetings, and commitments
Ensure schedules are realistic, organized, and aligned with priorities
📬 Inbox & Communication Management
Clean up and organize a high-volume inbox using folders, filters, and labels
Unsubscribe from non-essential emails to maintain inbox clarity
Draft email responses for review, then gradually take over replies
Act as a gatekeeper and central point of contact for the founder
Manage communication across email, Slack, and text
📱 Social Media & Content Support
Schedule and post content across TikTok, YouTube, Instagram, and Facebook
Manage DMs, including podcast guest coordination and general inquiries
Perform basic video edits using tools like CapCut
Create simple, on-brand social graphics, thumbnails, or visual assets using Canva to support posts and campaigns (Nice-to-have)
🤝 Team Liaison & Operations
Work closely with the COO on action items and operational needs
Coordinate with podcast and production partners as the team scales
Provide ad-hoc operational support where needed
