Requirements and responsibilities

We are a U.S.-based freight brokerage that works exclusively with freight forwarders, specializing in expedited, high-priority shipments. This is a high-touch, high-responsibility role. We handle time-sensitive freight where execution, communication, and documentation must be precise. We are looking for someone with direct freight forwarding or brokerage experience who can step in and operate with minimal training. Core Responsibilities: - Track shipments from pickup through final delivery. - Communicate proactively with customers and carriers. - Driver on-site notifications. - Loaded / in-transit updates. - Delivery confirmation + POD turnaround. - Ensure real-time tracking compliance (MacroPoint or similar). - Coordinate with carriers via phone, text, and email. - Identify and resolve delays or service failures quickly. - Maintain accurate and organized shipment records. Documentation & Compliance (Critical): - You must have experience handling Proof of Delivery (POD) retrieval and submission (time-sensitive). - Freight forwarding workflows and communication standards. - Import documentation. - Border crossing documentation (ACE, customs coordination, etc.). This role requires someone who understands how freight moves—not someone learning from scratch. What This Role Requires: - Fast response time (minutes, not hours). - Comfort making outbound calls to drivers and dispatchers. - Ability to manage multiple shipments without losing detail. - Strong sense of urgency and ownership. - Clear, professional communication with U.S.-based customers. Required Experience: - Freight forwarding or freight brokerage experience (required). - Experience working with freight forwarders (required). - Experience with expedited or time-sensitive shipments (required). Familiarity with: - Sprinter vans / straight trucks / dry vans. - Drayage (preferred). - Experience with tracking tools (MacroPoint, FourKites, etc.). Compensation: - Competitive monthly pay (based on experience). - Performance-based bonuses tied to execution and reliability. Important: - This is not a general virtual assistant role. - This is a high-performance operations role within a specialized logistics business.
