Schedule and pay rate:

* Schedule: Monday to Friday from 9:00 am to 6:00 pm CST.
* Time zone: Central Standard Time.
* Hours: 40 hours.
* Languages required: English.
* Open to: Philippines.
* Pay rate: \\$3-\\$5\/hr.
- Rates are dependent on your experience and skills, determined by ProtopVA

Responsibilities:

1. Administrative and operational support

* Manage schedules, appointments, travel plans, and reminders for the COO and team members.
* Maintain organized digital filing systems and ensure accessibility of documents.
* Prepare meeting notes, monitor action items, and follow up on deadlines.
* Assist in tracking expenses, managing office supplies, and handling general admin tasks.

2. Sales and lead generation support

* Research, identify, and qualify potential leads through various platforms.
* Assist with lead outreach, follow-up communications, and appointment setting.
* Maintain and update CRM with lead information and interaction history.
* Track lead conversion metrics and help optimize the sales process.

3. General admin and personal assistance

* Process invoices, manage expense reports, and support HR-related tasks (e.g., onboarding).
* Handle personal tasks and errands for the COO, ensuring discretion and professionalism.
* Maintain workflows and support smooth day-to-day company operations.

4. Communication and coordination

* Manage emails and calls, ensuring timely, professional responses.
* Coordinate between departments to share updates and ensure alignment.
* Organize and disseminate internal and external communications.

5. Project and marketing support

* Support ongoing projects by tracking deadlines and organizing tasks.
* Assist in preparing reports, presentations, proposals, and marketing content.
* Help with social media, email marketing, and customer relationship management.

Requirements:

* Proven experience as an Executive Assistant, Lead Generator, or in a similar administrative\/sales support role.
* Excellent organizational and time management skills with strong attention to detail
* Strong written and verbal communication abilities.
* Comfortable handling confidential information with discretion and professionalism.
* Tech-savvy; proficient with Google Workspace, CRM tools, scheduling apps, and project management software.
* Ability to work independently, manage multiple tasks, and meet deadlines.
* A proactive, resourceful, and solutions-oriented mindset.
* Experience with marketing, lead generation, and customer outreach is a plus.
* Flexibility to assist with personal tasks and handle dynamic priorities.
